In 2013, Cogent implemented Oracle NetSuite ERP as its ERP Financial platform. The deployment centralized financial control for the 200-employee distribution company, standardizing general ledger and financial reporting across the organization.
Oracle NetSuite ERP was configured to provide core financial modules typical of ERP Financial systems, including general ledger, accounts payable, accounts receivable, billing, fixed assets, and inventory valuation workflows aligned to distribution accounting practices. The implementation applied NetSuite configuration and native automation to formalize period close sequences, invoice and billing automation, and role based access for finance and accounting users.
The solution leveraged cloud multi tenant SaaS delivery to consolidate transactional financial data and reduce on premise infrastructure for the finance function. Data flows were organized to align transactional records from distribution operations with financial ledgers, enabling unified financial posting and valuation across order and inventory events.
Governance was formalized around a centralized chart of accounts, finance owned month end close procedures, and role based segregation of duties to control access to accounting and payment functions. Change management focused on standardizing accounting workflows and operational handoffs between distribution operations and finance.

In 2013 Cogent implemented Epicor Prophet 21 as its Distribution ERP to operationalize core accounts payable and accounts receivable workflows across its Kansas City hub. The deployment supported a centralized processing model that serviced nine branch locations from Denver CO to Decatur IL, with the Epicor Prophet 21 environment used daily by accounting and receptionist staff for transaction processing and sales support.
Epicor Prophet 21 was configured to support invoice scanning, indexing, vouching, vendor onboarding, duplicate invoice research, and weekly check runs as part of accounts payable operations. For accounts receivable the system was used for credit checks, new account setup, and sales order related activities, while tax exemption certificates were managed through a combined process that involved scanning into Ava Tax and entering required tax data into Epicor Prophet 21. Scanning of packing slips and document retention workflows were integrated with Unity OnBase, and remote deposit was performed 2 to 3 times weekly using a desktop check scanner as part of AR cash application.
Operational governance was reinforced by a P21 Administrator role and an Accounting Clerk Receptionist function that handled scanning, indexing, vendor qualification questionnaires and confidential document stewardship. Kansas City receptionists answered calls for multiple branches and maintained the primary contact list and a weekly absentee list to coordinate sales and service communications. Configuration and process choices emphasize document-centric transaction processing, vendor master controls, and coordinated AR deposit routines in the Epicor Prophet 21 Distribution ERP environment.
