cohealth is a large community health organisation with more than 900 employees and over 30 health centres, and the organisation moved from Dynamics AX after concluding the previous system required multiple manual steps and was difficult to support remotely via Citrix. The selection of Microsoft Dynamics 365 Business Central aligned with cohealths Microsoft centric office systems and the requirement for browser based access to financial functionality.
The deployment focused on core finance capabilities typical of ERP Financial systems, including general ledger, accounts payable, accounts receivable, and reporting and data extraction to support greater analysis of service demand and trends. Microsoft Dynamics 365 Business Central was configured to simplify financial workflows and reduce maintenance of reporting links that had previously produced unreliable Trial Balance results.
Evolution Business Systems EBS managed the end to end rollout across finance and reporting functions, enabling remote support and streamlined processes during the early pandemic lockdown. The implementation delivered easier to use financial software, improved data extraction for analysis, and met cohealths timing and budget constraints during a period of operational disruption.

The implementation focused on modules and capabilities aligned to payroll coordination and award interpretation, including timesheet management, pay-run reconciliation workflows, a dedicated payroll inbox for query management, role-based access controls to preserve confidentiality, and configuration to enforce payroll deadlines and approval gates. Frontier Software iChris was used to capture and validate timesheets, surface discrepancies for resolution, and maintain audit-ready payroll records consistent with multi-award payroll processing requirements.
Operational coverage included the payroll team within the finance directorate and close collaboration with the external outsourced payroll provider, the People Operations team, finance leaders, and cluster leaders across cohealth sites including the Footscray base. The deployment supported multi-site payroll operations, enabling the payroll officer role to coordinate outsourced pay runs, liaise with the external provider on processing matters, and facilitate reconciliations until completion.
Governance and process changes reinforced the payroll team as the operational hub for payroll accuracy and compliance, formalizing responsibilities to verify timesheets entered and approved in HRIS software within deadlines, manage payroll queries and inbox triage, and collaborate with People Operations on award interpretation. Frontier Software iChris served as the Core HR system that structured these workflows, governed access to sensitive payroll information, and institutionalized the coordination between internal teams and the outsourced payroll provider.
