| SAP | Legacy | SAP Travel and Expense Management | Expense Management | ERP | n/a | 2011 | 2011 |
In 2011, Cox Media Group implemented SAP Travel and Expense Management to centralize accounts payable and expense workflows across its finance organization. The deployment focused on Expense Management capabilities to support invoice processing, expense report handling, and check run orchestration for the companys US offices and tax function.
Configuration and operational modules emphasized invoice coding, expense report processing, and check request handling for the tax department, using SAP Travel and Expense Management to capture, route, and approve payment-related transactions. Team processes included daily vendor invoice coding and regionally segmented utility invoice processing, reflecting a structured approver and accounting coding workflow common to Expense Management systems.
Operational coverage spanned multiple US offices and regions, with routines for clearing invoices tied to international and domestic wire payments and weekly check runs for vendors whose invoices were due. The implementation handled recurring volumes including processing approximately 100 invoices and 15 expense reports per week, as well as routine check requests and vendor payment clearance tasks.
Governance and controls were implemented within the SAP environment to reconcile past due accounts to bring balances current for the weekly payment run, to reconcile vendor statements monthly to obtain missing invoices, and to issue stop or void actions on uncashed checks older than 90 days. Finance teams also used SAP processes to document negotiations of late charges with vendors who received payment after due date or who were incorrectly charged.
Operationally SAP Travel and Expense Management served as the transactional backbone for vendor payments and expense administration, supporting daily coding of vendor invoices, weekly check runs, and tax department check requests without reference to other systems. The implementation emphasized standardized workflows for invoice routing, payment clearing, statement reconciliation, and aged check resolution within the Expense Management domain.

| ADP | Oracle PeopleSoft HCM | ADP Workforce Now | Core HR | HCM | n/a | 2019 | 2019 |
In 2019, Cox Media Group executed a Human Capital Management System migration from Oracle PeopleSoft HCM to ADP Workforce Now, deploying Core HR for more than 6,000 employees. The program established a new payroll and benefits team of five, charged with operationalizing payroll processing, tax compliance, vendor relationships and benefits administration for the newly formed CMG entity.
ADP Workforce Now was configured to centralize core HR capabilities including payroll processing, payroll tax workflows, benefits enrollment and administration, and leave management covering state leaves, short and long term disability, FMLA, ACA and unemployment processes. The implementation included sourcing and provisioning new third party benefits vendors and a 401k plan, and configuring vendor relationship and invoicing workflows to support auditing and compliance requirements.
The deployment coexisted with previously used HR tools and records from Oracle PeopleSoft HCM and the broader HR technology footprint, which included Kronos time collection, Taleo recruiting and onboarding, Aetna benefits administration and a ServiceNow HR case management system as part of the end to end HR service delivery model. Operational coverage focused on payroll and HR service delivery across the Cox Media Group organization and involved dissolving the prior Employee Resource Center into centralized support for the new and remaining Cox Enterprises companies.
Governance centered on building the payroll and benefits operating model, defining vendor metrics and reporting to identify training gaps, and documenting policies and procedures for ongoing compliance. Project documentation states that existing employees were provided similar or better benefits under the new company and that payroll, payroll tax and vendor invoice controls were managed to confirm accuracy and audit readiness.
