In 2010, CSA Group implemented SAP Concur Expense to address Expense Management for employee travel and mileage tracking across its Canadian operations. The deployment focused on centralizing expense claims capture, mileage recording, and reporting outputs within SAP Concur Expense as the authoritative expense management application.
During third party verification, Ecometrica examined original employee car travel mileage extracted from expense claims and identified a large number of errors originating from records taken from Concur. CSA Group undertook a review and updated a large proportion of Concur records and assessment information, and Ecometrica confirmed that most missing or incorrect entries in the random sample were corrected, though a minority of records remained incorrect.
Ecometrica also identified new records that were reported as having been omitted during the initial assessment due to errors in Concur tracking and outputs, however raw source data for those new entries was not provided and therefore Ecometrica did not verify their accuracy. The review highlights that SAP Concur Expense outputs and the data extraction process were central to the issue, because Concur mileage entries account for over 50 percent of all travel records used in the assessment.
Ecometrica concluded that significant improvements occurred between verifications and that the car travel totals derived from SAP Concur Expense were acceptable for the assessment, while noting a very high residual uncertainty tied to Concur mileage entries. CSA Group is advised to review all SAP Concur Expense records and outputs used in this and future assessments and to review the process used to extract data from the system, with governance and workflow controls adjusted to ensure complete source data availability for third party verification.
