| SAP | Legacy | SAP Ariba Invoice | AP Automation | ERP Financial Management | n/a | 2017 | 2017 |
In 2017, Deutsche Bahn implemented SAP Ariba Invoice as part of a broader SAP Ariba deployment to move procurement to a cloud-based model. The deployment targeted AP Automation and international supplier relationship management, aiming to create a single source for purchasing activity across the group.
The implementation combined SAP Ariba Strategic Sourcing Suite, SAP Ariba Buying solution, Ariba Network, and SAP Ariba Invoice to enable guided buying workflows, centralized requisition-to-invoice processing, and embedded risk management capabilities. Configuration prioritized no-touch electronic invoicing and automated order processing to reduce manual invoice handling and streamline accounts payable operations.
Ariba Network served as the global supplier exchange to extend supplier reach for Deutsche Bahn’s international procurement processes, and the AP Automation scope converted invoices and orders across its procurement footprint into hands-free electronic transactions. The deployment focused on supplier relationship management, procurement operations, and invoice orchestration across purchasing functions rather than point solutions.
Governance changes included centralizing purchasing controls, enforcing guided buying to standardize supplier selection and approvals, and introducing sustainability and risk checkpoints into procurement workflows to align with Deutsche Bahn’s three-pillar strategy of economic stability, employee satisfaction, and ecological sustainability. These workflow adjustments supported consistent SRM practices and helped operationalize supplier risk management at scale.
Outcomes documented in the program include conversion of more than 500,000 hands-free procurement invoices and orders to no-touch electronic invoices in the first year, a cloud migration completed in seven months, and the program exceeding the estimated ROI. SAP Ariba Invoice and the wider SAP Ariba solutions were used to operationalize supply chain sustainability and broaden supplier network access while strengthening procurement governance and AP Automation processes.

| Drakos | Legacy | Drakos JaniWeb | Absence and Leave Management | HCM | n/a | 2018 | 2019 |
In 2018, Deutsche Bahn implemented Drakos JaniWeb as an Absence and Leave Management solution to address HR and workforce access processes in Germany. The implementation targeted centralized administration of time and absence workflows within HR operations and aimed to instrument digital time recording and absence request lifecycles.
The deployment included Drakos JaniWeb core absence management and, based on partner descriptions of Drakos time-recording API deployments, inferred use of JaniComm style time-recording capabilities to capture time and attendance events. Functional capabilities implemented included time stamping and record capture, absence requests and approvals, entitlement tracking, and centralized ingestion of access-control events via Drakos APIs.
Integration was executed through the Drakos SAP/API integration for transferring access-control and time attendance data into HR and timekeeping systems, indicating an API-led architecture designed to handle high daily record volumes. The implementation emphasized scalable interfaces to route badge and terminal time events into SAP based HR/time platforms and downstream HR consumers.
Operational coverage focused on HR and workforce access processes across Deutsche Bahn in Germany, with governance centered on centralized data flows and API orchestration to consolidate time and access records into corporate HR timekeeping. Configuration and workflow adjustments concentrated on attendance reconciliation, time recording consistency, and automated exchange of time and absence records between Drakos JaniWeb and HR/time systems.

In 2017 Deutsche Bahn deployed SAP Enterprise Asset Management to centralize maintenance workflows across rolling stock, stations and the rail network. Deutsche Bahn SAP Enterprise Asset Management Enterprise Asset Management underpins core maintenance business functions, and the implementation was positioned inside a broader S4 migration program focused on asset maintenance.
The implementation concentrated on standard Enterprise Asset Management functional capabilities, including asset master data consolidation, work order management, and maintenance planning, with configuration to support service-oriented backend functionality. SAP Enterprise Asset Management was configured to support integrated maintenance IT processes used by more than 10,000 users across the Group, aligning maintenance execution and planning with enterprise asset records.
Integration work was scoped around the S4 migration and migration of maintenance processes to SAP HANA, with explicit technical focus on harmonizing SAP ISI in the S4 context. The program emphasized ABAP development, SAP Cloud and OData services to enable service interfaces and backend services, and it included system and process integration tasks to rationalize maintenance data flows.
Governance and rollout were organized through DB Systel, with a Frankfurt-based team working with internal and external stakeholders and periodic collaboration across DB Systel locations in Berlin, Frankfurt and Erfurt. Deliverables included realigning software architecture, designing backend services for maintenance workflows, and providing SAP subject matter expertise up to management level to drive functional and technical optimization of the maintenance landscape.
