In 2018 Diona implemented COINS HR & Payroll alongside COINS TimeFiler to address rapid headcount growth and modernize its payroll and timesheet capture processes within the Payroll function. The implementation targeted construction site time and attendance data collection, creating a single point of entry to consolidate disparate capture points across the business and provide upfront visibility for project cost approvals.
The deployed solution paired COINS HR & Payroll with COINS TimeFiler as a cloud-based time management front end, configured for timesheets, rosters, leave requests and real-time interpretation of awards. TimeFiler was implemented to automate calculations of individual pay entitlements including award rates, to surface automated reminders for missing data, and to present an approval workflow for project managers prior to payroll posting. Users access the system from internet-capable devices and native Apple and Android applications, supporting field to payroll data flow.
Integration between COINS TimeFiler and COINS HR & Payroll was executed to enable near-instant timesheet uploads and real-time payment updates, reducing manual data entry and reconciliation. Operational governance changes included formalizing a project manager approval point and shifting responsibilities in payroll processing, enabling the Payroll team to focus on payroll execution rather than data collection. Reported outcomes from the implementation include a reduction in payroll processing time from 30 hours to 8 hours per week, a 95 percent drop in outstanding timesheets, and markedly faster timesheet uploads, with the vendor and Diona reporting the project delivered on time and on budget.
