In 2016 Docupace implemented Intuit Quickbooks Enterprise as its ERP Financial application to centralize core accounting and accounts payable functions. The rollout targeted the company accounting organization and operational finance tasks performed at the Brentwood, CA site, consolidating invoice processing, vendor billing, and employee expense posting under a single ERP Financial record of transaction.
Configuration work for Intuit Quickbooks Enterprise focused on accounts payable workflows, including invoice batching, vendor coding, matching and check printing. Daily operational activities documented in the implementation included entering invoices into QuickBooks, batching and coding payables, entering employee expenses captured in SAP Concur into Intuit Quickbooks Enterprise, maintaining accrual schedules in Microsoft Excel, and performing weekly check runs with matching of checks to invoices for vendor payment.
The implementation surface included explicit integrations and handoffs between SAP Concur for expense capture and Intuit Quickbooks Enterprise for ledger posting, plus manual document management practices such as scanning physical invoices and storing electronic invoice files by vendor name. Accruals were maintained outside the ERP in Microsoft Excel, indicating a mixed automated and manual reconciliation footprint across systems.
Governance and process changes emphasized defined AP tasks and verification steps, such as matching, batching, coding, scanning, and filing of payables, and scheduled check-printing routines for payments. These operational controls were embedded in the Intuit Quickbooks Enterprise deployment to support day-to-day accounts payable, expense posting, and vendor payment workflows within Docupace’s accounting function.
