DoDo is a Czech delivery and logistics provider that issues and receives roughly 500 invoices per month, about 12,000 invoices per year, and previously managed paper documents through multiple manual staging steps across operations, accounting, and controlling teams. The implementation began with a process map that documented who would process invoices, how invoices would be accounted for, and how issued invoices, sales, bankroll, and salaries would be tracked. Rossum.ai Platform configuration included tailoring the extraction schema to DoDo requirements, capturing standard fields such as invoice number, dates, and supplier name, and adding a custom dropdown for order and cost center data to ensure order and payment center details flowed into accounting. The Rossum user interface was used for human validation, and a trained DoDo employee processes documents directly in the Rossum.ai Platform, completing a document in under a minute while assigning order and cost center details and postings. Captured documents are exported into DoDo Czech’s accounting system through a connector, enabling daily imports and regular document control by Rossum and DoDo staff. Operational coverage included accounts payable processing and support to the controlling department, which consolidated outputs from operations, invoicing, and the new captured data to align reporting with accounting. The company retains regular access and control over processed documents and uses the integrated feed to monitor results throughout the month. Governance and workflow changes were formalized during rollout, with mapped processing steps imported into the accounting system and a brief operational training to embed the new validation workflow into an existing full time role. After more than a year connected to Rossum.ai Platform, DoDo reported a 75 percent reduction in document processing time and moved most accounting processing in house, enabling daily accounting entries and confident month to month reporting. |
