The deployment positioned SAP S/4 HANA alongside SAP Fieldglass Services Procurement and SAP Fieldglass SOW Worker and Documentation Tracking to centralize contractor engagement, contract lifecycle management and financial posting of supplier invoices. The implementation configured SAP Fieldglass Services Procurement to tie spend to individual contracts and to automate the purchase requisition to purchase order flow for contractors, while SAP Fieldglass SOW Worker and Documentation Tracking was used to manage statement-of-work providers and contractor documentation. Timesheet-driven invoice generation and online manager approvals were enabled to remove manual e-mail workflows, reduce a nine step process to three steps, and minimize involvement from purchasing and accounts payable. Energex integrated SAP S/4 HANA with SAP Fieldglass and with SAP Ariba Strategic Sourcing Suite and SAP Business Network Commerce Automation to provide end-to-end operational coverage from sourcing through commerce automation and ERP financial settlement. The solution scope covered the Digital Division contingent workforce, roughly 150 contingent workers per year in the division, and moved agency communications and contract variations into the system, enabling suppliers to track completed work and payments and to receive automatically generated invoices from timesheets. Governance and operational control were tightened through digital audit trails and workflow enforcement, permitting single-person resourcing management to operate effectively with system-enforced approvals and stored audit histories. Outcomes reported in the implementation included more than 60 percent savings in sourcing and procurement processing time, a 95 percent reduction in accounts payable processing time, 100 percent of contractor invoices paid on time-sheet approval, and faster reporting with reports that previously could take up to 15 minutes now returning in under one minute.

Governance and operational ownership rested with SPARQ Solutions as Energex’s IT services provider, with ABB supplying the Ventyx portfolio and implementation support. The initiative emphasized improved visibility and efficiency in network management and field-work management, outcomes that were called out as particularly important for managing summer storm season risk to installations and equipment.
