In 2021 Fidelity Life implemented ExFlow AX as its AP Automation solution as part of Project Watson and the wider move to Microsoft Dynamics 365 F&O. The implementation ran alongside the General Ledger phase of Project Watson and coincided with Fidelity Life completing the acquisition and integration of Westpac Life, which brought a comparable AP headcount into the business and increased the operational need for automated invoice processing.
ExFlow AX was configured to support invoice capture and automated matching, including GST number and bank account validation against the vendor master, and to enforce approval workflows based on delegation of authority limits. The ExFlow AX approval routing was instrumented to route invoices automatically to budget holders, ensuring approvals aligned with approved delegation limits and reducing manual checking at the invoice level.
The deployment was integrated with Microsoft Dynamics 365 F&O, with over 3,000 vendors migrated into the D365 F&O vendor master during the rollout, and Datacom supported the Dynamics migration and recommended ExFlow. Operational coverage focused on Finance, Accounts Payable and core accounting functions across the New Zealand business, embedding ExFlow AX into the invoice-to-pay and general ledger posting chain.
Governance changes included formalized approval routing and earlier system entry for invoices, allowing GST to be claimed sooner because invoices enter the system at receipt rather than after manual processing. Fidelity Life reported stronger financial control and reduced fraud risk through automatic supplier detail matching, faster, accurate routing to budget holders, and improved confidence that approvals were within delegation limits, helping ensure suppliers are paid on time.
