In 2019, Fountain Mortgage deployed DocMagic SmartClose to provide Intelligent Document Processing for its mortgage closing operations. The implementation focused on automating and centralizing closing and post-closing document workflows for the Prairie Village, KS loan closer function, aligning the application with frontline closing and pre-funding activities.
DocMagic SmartClose was configured to support core closing activities including pre-closing review of required documentation, validation of loan data prior to document preparation, and preparation of the complete loan closing package including the Closing Disclosure. The application also supported pre-funding review processes, coordination with settlement agents on executed closing documents, upload of executed documents to investor delivery channels, and registration of closed loans with MERS, while enabling assigned Transfer of Servicing tasks.
The implementation integrated with the operating loan origination system Encompass to ingest loan data for validation and document generation, and it interfaced with investor delivery workflows and MERS registration for post-closing transmission. Settlement agent interactions were formalized through DocMagic SmartClose driven document review and authorization steps that feed funding authorization decisions.
Governance and workflow controls were established to require pre-closing validation gates and a formal pre-funding review before issuance of funding authorization, embedding the Mortgage Loan Closer role as the operational owner of document accuracy and investor deliverables. The system also supported cross-functional handoffs into Post-Closing, Secondary Marketing, and System Administration responsibilities, standardizing review and upload procedures across those functions.
Operationally the rollout reinforced role-level expectations for closers, including two years of residential mortgage experience and proficiency with Encompass and DocMagic, and emphasized customer service and deadline-driven processing. DocMagic SmartClose serves as the centralized Intelligent Document Processing engine for Fountain Mortgage closing, post-closing, and investor registration workflows.
