In 2017 Fowler Hirtzel McNulty & Spaulding implemented Worldox as the firmwide Document Management platform to centralize legal secretarial and litigation document workflows. The deployment targeted day-to-day document intake, indexing, and efiling processes used by secretarial staff supporting partners and associates in the Philadelphia office.
Worldox was configured to support core document management capabilities including scanning and indexing of incoming mail, PDF creation and conversion, profiling of pleadings, electronic filing in Federal and State Courts, creation and maintenance of trial binders, Bates stamping and redaction. The implementation emphasized document search and retrieval, calendar deadline tracking tied to document profiles, and handling of digital dictation transcripts for correspondence and discovery.
Operational interfaces included Microsoft Office Suite and Adobe for document authoring and PDF handling, digital dictation and Nuance transcription streams for correspondence, Serengeti Billing for matters and billing reconciliation, and Legal Exchange for document exchange workflows. The system processed vendor invoices and vendor-created documents through the same Worldox intake and profiling pipeline to maintain a single document repository for litigation work.
Governance and workflow change focused on centralized scanning and indexing protocols, secretarial overflow support procedures, and standardized naming and profiling conventions to ensure consistent efiling and docket management. Training and role-based handoffs were applied to secretarial staff responsible for calendar maintenance, deposition scheduling, docket searches and the end-to-end lifecycle from scanning into Worldox through final trial binder assembly.
