Configuration emphasized invoice processing, purchase order requisition handling, accounts payable reporting, and month-end close support, reflecting day-to-day responsibilities such as processing invoices in Microsoft Dynamics GP, reviewing accounts payable reports, and responding to vendor payment inquiries. Functional capabilities implemented include vendor inquiry and payment status workflows, receivables touchpoints, collections and dispute resolution processes, and audit support for internal and external reviews. Operational coverage included southern regional accounting staff based in Jacksonville, Florida, and coordinated activity across regional personnel and other finance departments, aligning AP Automation with accounts receivable and general accounting tasks performed by accounting clerks. Staff used Microsoft Office for supporting tasks, while the Microsoft Dynamics GP Accounts Payable application served as the system of record for invoice processing and payment workflows. Governance was organized around month-end close responsibilities, vendor communication protocols, and audit participation, with accounting clerks responsible for collections on past due accounts and escalation of disputes to finance management.
