In 2019 Genesee & Wyoming implemented Workday Absence Management as part of a broader Workday HCM and Rail Smart rollout across the UK business of 5,000 colleagues. The deployment targeted Absence and Leave Management and time tracking capabilities to standardize leave rules, approvals and manager self service across operational sites.
Workday Absence Management was configured alongside Core HCM modules with explicit process designs covering Recruitment, Core HCM, Performance and Talent, Time Tracking and Absence, Payroll and Benefits, Learning, Employee Self Service and Manager Self Service. The project team gathered ambiguous business requirements and mapped over 100 current HR and business processes, producing visual process maps that enabled the design of more than 30 automated HR go to processes to support absence intake and approval workflows.
The implementation ran concurrently with the Rail Smart application suite, and discovery and design workshops with more than 20 stakeholders, suppliers and subject matter experts ensured requirements were configured across both systems. Integration points were defined to align absence workflows with payroll and time tracking, and the work addressed operational coverage across HR, operations and payroll functions supporting Digital Railway activities in the UK.
Governance and rollout activity was led by an HRIS and business change analyst who performed change impact assessments and redesigned future operating models for impacted teams. The governance approach included phased rollout planning, stakeholder workshops and coordination of training to embed new absence and leave processes.
Documented achievements include gathering and clarifying ambiguous requirements, mapping 100 plus processes, designing 30 plus automated HR go to processes, and conducting discovery and design workshops that validated configurations on both Workday Absence Management and the Rail Smart platform.
