Emburse Legacy Emburse Invoice Enterprise AP Automation ERP n/a 2018 2018
In 2018, Haynes and Boone, LLP implemented Emburse Invoice Enterprise to automate accounts payable and invoice processing across the firm. The deployment centralized invoice capture, a configurable rules engine for business rules and approval routing, and an audit trail to enforce expense policies and support travel pre-approval workflows for the firm’s expense management needs. Emburse Invoice Enterprise was configured to support automated invoice validation, electronic routing to approvers, mobile review and approval, and paperless storage of invoice images. The implementation included self-service configuration capabilities for the accounting team, including adding and mapping GL accounts, adding vendors, and reassigning approval roles to maintain continuity during staff absence. Integrations were implemented with the firm’s core financial systems and payment channels, including Elite Enterprise financial management, Elite 3E, Interaction CRM, Global Exchange foreign payment processing, and American Express to streamline posting, billing, and payment flows. The rollout followed a phased approach, going live with the accounting department first and then expanding firm-wide, which leveraged consistent user interfaces to reduce training overhead when invoice automation followed expense automation. Governance and operational changes included configuring approval levels and routing rules in the Rules Engine and establishing audit trails and travel pre-approval processes to increase accountability for expense spending. As a result the firm automated manual invoice work, reduced paper handling costs, accelerated approval and payment cycles, improved visibility into workflow status, and shortened the time from expense occurrence to reimbursement, billing and collection.

Thomson Reuters Elite Legacy Thomson Reuters Elite 3E Legal Practice Management ERP Services and Operations n/a 2016 2016
In 2016, Haynes and Boone, LLP implemented Thomson Reuters Elite 3E as its Legal Practice Management solution to address a manual, spreadsheet-driven expense and invoice workflow. The initiative targeted elimination of two-step data entry, acceleration of approval time, and the introduction of a formal travel pre-approval process with an auditable trail to increase employee accountability for expense spending and budgets. The Thomson Reuters Elite 3E deployment centralized expense management and invoice processing, and configured configurable approval workflows, travel pre-approval controls, policy validation, and an auditable transaction history. Functional capabilities implemented included automated expense capture and routing, staged approvals to enforce firm policy, and controls to tie pre-approvals to subsequent expense submissions. Operationally the implementation consolidated submission and approval workflows for attorneys, practice group administrative staff, and accounts payable and finance teams, removing the prior spreadsheet handoff and interoffice mail step. The solution was configured to feed approved expense data into the firm financial management environment for AP posting, and governance changes introduced structured approval routing, audit logging, and explicit policy enforcement to increase oversight and accountability.
