In 2014 Unilever India deployed Coupa Invoice as a focused AP Automation solution to centralize invoice intake and approval across its India finance and procurement organization. The implementation positioned Coupa Invoice to handle invoice capture, automated validation, PO matching and approval routing for Accounts Payable and Procure-to-Pay workflows.
Configuration work for Coupa Invoice emphasized invoice processing modules, exception handling and configurable approval workflows aligned to corporate controls. Implementation activities included role and permission alignment, workflow configuration and the creation of structured test scripts to validate invoice lifecycle behavior and exception resolution.
The deployment integrated with NetSuite, with explicit testing on P2P integration between NetSuite and Coupa for Vendors, Invoices and Payments data modules, ensuring vendor master synchronization and invoice and payment data exchange. Integration testing covered preparation of test data, test case execution and defect tracking to closure to validate end to end invoice flows between Coupa Invoice and NetSuite.
Governance and rollout followed a test driven approach, with defined approval policies and workflow ownership placed in the finance and procurement teams in India. | Workday | Legacy | Workday HCM | Core HR | HCM | n/a | 2018 | 2018 |
In 2018 Unilever India implemented Workday HCM as its Core HR platform and established a dedicated Blue Collar Workforce Administration function to manage life cycle processes for more than 10,000 blue collar workers on the HRMIS Workday HCM instance. The implementation is positioned as a centralized HRIS for hire to retire transactions and workforce administration across factory sites, with configuration focused on worker onboarding, ongoing employee record transactions, and offboarding workflows.
The Workday HCM deployment supported end to end Workday transactions for blue collar employees, with the team responsible for workforce administration, transaction processing, and event management. Configuration and operational automation included casework handling for hires and terminations, transaction validation for pay-related events, and a framework addressing overtime optimization that was created to reduce overtime exposure in factory operations.
Operational coverage explicitly included all factory units of Unilever India, with site level activity noted at the HUL Pondicherry HPC and centralized coordination with the Central Payroll Team. The implementation involved payroll interfacing activities, payroll processing coordination for 10,000 plus blue collar employees, and liaison with internal and external stakeholders to ensure payroll and time related transactions flowed from Workday HCM into payroll processing routines.
Governance was organized through a team lead for Blue Collar Workforce Administration who managed the end to end operational ownership of Workday HCM transactions and partnered with Central Payroll for payroll governance. The program also encompassed localized workforce initiatives such as overtime optimization projects and employee engagement activities, aligning HR operations, payroll coordination, and factory level workforce administration under the Core HR application Workday HCM.

| Microsoft | Legacy | Microsoft Power BI | Analytics and BI | Analytics and BI | n/a | 2019 | 2019 |
In 2019, Unilever India implemented Microsoft Power BI to centralize HR analytics and reporting. Microsoft Power BI was provisioned as the primary application in the Analytics and BI category to consolidate pulse metrics, onboarding and exit trends, promotion and payroll inputs for HR leadership and operations.
The implementation focused on purpose-built Microsoft Power BI dashboards and reports. Key deliverables included a Net Promoter Score dashboard covering joining, onboarding, promotions, transfers, career breaks and exits, a return-to-work dashboard used during COVID to track office attendance trends, a grievances dashboard for recording and tracking employee issues, and onboarding analytics tied to the nEXt application flow. Dashboards incorporated HR-centric report types such as personal history, remuneration history, performance clusters and payroll input views, and were developed with embedded automation to orchestrate document collection and notifications.
Integrations were explicitly implemented with Workday as the HR master data and reporting source, ServiceNow for position creation and ticketing workflows, DocuSign for candidate and new joiner document collection, SAP Concur for expense claim context, and the UNA tool for employee query capture. Microsoft Power BI consumed these data feeds and combined them with automated triggers created using MS Power Automate to streamline data refresh and notification cycles.
Operational coverage included HR leadership, HR business partners, line managers, payroll teams and HR operations across Unilever India. Governance practices emphasized standardizing onboarding communications, automating document and ticket handoffs, and embedding Workday report consumption into recurring HR workflows to support promotions, exits and annual performance review processes.
Outcomes called out in the implementation included Unilever India becoming the first country in the company to implement NPS across multiple employee moments, a return-to-work dashboard that provided leadership visibility during COVID, an onboarding application flow designed to save 700+ hours per year for HR operations, and a grievances dashboard that automated tracking and saved 500+ hours. These artifacts were implemented using Microsoft Power BI within the Analytics and BI category to support HR analytics and operational decision making.
