In 2007, IKEA Japan implemented NEOREX Bye Bye Timecard, a cloud SaaS/ASP attendance management application in the Time and Attendance category. The initiative followed a site-driven review to centralize store-level attendance data and add English approval capability for non-Japanese managers, with a rapid pilot for the Kobe Port Island store that entered operation in March 2008 and a subsequent roll out to all stores and the distribution center.
NEOREX Bye Bye Timecard was configured to support IC card based clock-in and dedicated terminal capture, web-based leave and overtime application workflows, shift scheduling that spans multiple departments, and hourly manager-level attendance oversight. The deployment incorporated English user interfaces and bespoke configuration work to represent IKEA Japan’s personnel rules, including distinctions between paid vacation, sick leave concepts not typical in Japanese packaged software, and leave when a child is sick.
Architecturally the solution was delivered as a cloud service with on-premises terminals feeding real-time attendance records into a centralized headquarters dashboard. Stores used IC card terminals for local capture while HR and store managers accessed consolidated attendance data and weekly reports, including working hours and sales ratio by hour and by sales area, for reporting to IKEA head office in Sweden.
NEOREX engaged in in-depth consultations with each department to translate IKEA’s unique welfare and scheduling requirements into system configuration, and supported iterative changes as work rules evolved annually. The three month pilot-to-production timeline for Kobe and the staged rollout across sites were managed with centralized configuration control and manager approval workflows to minimize disruption for non-technical staff.
Post-implementation the system reportedly never stopped due to trouble, removing the paper backlog that previously accumulated for roughly 500 employees during outages and reducing administrative burden for HR and frontline staff. NEOREX Bye Bye Timecard enabled cross-department shift creation, improved hourly operational visibility for managers, supported English approvals, and supported IKEA Japan’s work-life balance objectives by enabling more efficient scheduling and near real-time labor management.
