| Hyland | Legacy | OnBase for AP | AP Automation | ERP Financial Management | n/a | 2016 | 2106 |
In 2016 Interactive Brokers implemented OnBase for AP from Hyland as an AP Automation initiative to standardize invoice workflow and approvals across its accounts payable function. The implementation was tied to the Accounting and Accounts Payable organization responsible for reviewing and approving global clearing and exchange fee invoices totaling approximately $4 million per month, and program ownership included an eight person AP team and project management support during rollout.
OnBase for AP was configured to support invoice capture, routed approval workflows, and default distribution coding. The project included creation of default distribution codes for vendors and supplier master data governance, and setup of vendor bank accounts to support payment processing, improving clerical accuracy and time management in AP operations.
The OnBase for AP deployment integrated directly with Oracle Financials for vendor and payment data synchronization, enabling invoice posting and distribution to the general ledger. Operational coverage included inter-company brokerage allocations billed to subsidiaries, month-end close processing, and global fee invoice handling, aligning AP Automation with core accounting workflows.
Governance and process changes accompanied the technical implementation, including updates to sales tax reporting policy and annual SOX testing to maintain compliance. The configuration and procedural changes reduced month-end closing turnaround from six to three business days and cut staff processing time for sales tax work by five hours per week, while supporting management rule changes and new accounting policies.
