AvidXchange Legacy AvidInvoice AP Automation ERP Financial Management n/a 2017 2017
In 2017, Island Hospitality Management implemented AvidInvoice as part of its AP Automation environment. Island Hospitality Management is a West Palm Beach based operator of 170 hotel properties with approximately 3,000 employees and hundreds of vendor relationships, which had created acute invoice volume pressure on accounts payable. The deployment centralized invoice capture, routing and electronic payment orchestration using AvidInvoice alongside AvidPay, and the company later extended the environment with AvidUtility for utility and telecommunications bills. Functional modules and capabilities implemented include automated invoice capture and processing, approval workflow and remote approvals, electronic check runs and payment execution, and a receipt-through-review-to-payment flow for utility invoices. Integrations were configured between AvidInvoice, AvidPay and AvidUtility to create end-to-end AP processing and to enable 24/7 portal access for approvers working remotely. Reporting and export capabilities were provisioned to generate custom Excel reports for internal and external auditors, allowing Island Hospitality to upload reports directly to auditor portals and to share quarterly reports with hotel ownership groups. Operational scope covered corporate accounts payable and property finance liaisons across Island Hospitality's 170 properties, enabling AP staff to transition from data-entry roles into vendor and account management functions. Documented outcomes include a cited weekly savings of about 37.5 work hours and a reduction in average invoice processing time from 18 days to three, and the company reported smoother, timelier handling of utility payments after AvidUtility was implemented in 2019.

ADP Legacy ADP Enterprise HR Core HR HCM n/a 2013 2018
In 2013 Island Hospitality Management implemented ADP Enterprise HR as its Core HR solution. The deployment covered HR operations supporting more than 80 hotels in the United States, centralizing employee records and workforce administration under ADP Enterprise HR to support employee relations, compliance, and onboarding workflows. Configuration work emphasized Core HR functional modules for employee records, onboarding and new hire paperwork, E-Verify driven eligibility checks, compensation administration including wage grid review, and recognition and events management. ADP Enterprise HR was used to instrument case management for EEOC and NLRB charges and to maintain documentation for legal claims, reflecting a focus on compliance workflows and HR policy communications with management and team members. Operational integrations included consolidated reporting across ADP Enterprise, ADP-V4 and ADP-V5 environments, enabling HR to produce consistent workforce reports and support hotel merger and acquisition activities. The scope of operations encompassed HR business functions across site HR teams and hotel managers, coordinating new hire processing, E-Verify enrollment, and compensation updates through the ADP environment. Governance and rollout practices were centered on partnering with management to communicate policies, procedures, labor standards and government regulations, and on formalizing processes for responding to EEOC and NLRB charges. The implementation supported centralized control of recognition programs and employee events, and established reporting and documentation pathways within ADP Enterprise HR to sustain ongoing HR compliance and operational coordination.
