In 2015 Wood PLC deployed COINS ERP to support Accounts Payable query handling activities as part of its Construction ERP environment, with the operational role documented from 2015 to 2019. The deployment targeted invoice query resolution and payment continuity across the whole of the UK and multiple legal entities, emphasizing supplier liaison to avoid accounts being placed on stop.
The COINS ERP implementation centered on functional capabilities common to Construction ERP systems, including invoice query tracking, invoice clearance workflows, manual payment initiation outside scheduled BACS payment runs, BACS payment verification, and statement reconciliations. Additional operational tasks integrated into the application workflow included monthly aged creditor reviews to identify credit balances and the generation and submission of purchase card application forms and declined card payment resolution.
Operational integration included dual use of Agresso and COINS ERP systems to clear invoices in query, and collaboration with an offshore processing centre, Genpact in Hyderabad, to process invoice clearing from early 2017. The program involved cross functional liaison with internal customers and external suppliers across differing legal entities, and included an on site training engagement in Delhi to onboard new personnel to the Wood Shared Service Centre as part of the transition from Genpact.
Governance and process adjustments emphasized day to day operational ownership within Accounts Payable, with documented procedures for requesting and checking manual supplier payments, sight checking statements to ensure invoices and payments were allocated, and escalation paths to prevent supplier holds. Explicit outcomes recorded in the activity notes were clearing invoices for payment and avoiding accounts being placed on stop, achieved through coordinated use of COINS ERP within the Construction ERP landscape.
