| Oracle | Legacy | Oracle e-Business Suite Accounts Payable | AP Automation | ERP | n/a | 2012 | 2013 |
In 2012, KCGM implemented Oracle e-Business Suite Accounts Payable as its AP Automation solution. The deployment centralized accounts payable processing for KCGM's finance organization, standardizing supplier invoicing, payment runs, and ledger posting across the company.
Oracle e-Business Suite Accounts Payable was configured to support invoice capture, supplier master management, three way matching, payment scheduling, and approval workflow automation consistent with AP Automation functional expectations. Configuration work focused on payment term rules, approval hierarchies, and payment file formatting to align with KCGM treasury and supplier requirements.
Daily Accounts Payable Interfaces to General Ledger using Empac and Oracle were established to move payable transactions into the corporate General Ledger, implementing daily interfaces that transformed AP activity into GL entries. The integration architecture positioned Empac as the interface layer between Oracle e-Business Suite Accounts Payable and the Oracle General Ledger, enabling consistent posting and reconciliation flows.
Operational scope covered the accounts payable team within finance and supplier management processes, with rollout oriented toward centralizing AP operations and reconciling supplier balances against the GL. Governance changes introduced structured invoice approval routing and periodic reconciliation between Oracle e-Business Suite Accounts Payable and the corporate General Ledger using the Empac interface.

| Workable | Legacy | Workable ATS | Applicant Tracking System | HCM | n/a | 2015 | 2015 |
In 2015, KCGM adopted Workable ATS as its Applicant Tracking System. The deployment targeted KCGM's corporate human resources and talent acquisition teams across its Australian operations, supporting recruiting for a workforce of approximately 1,200 employees. Workable ATS functions as the primary platform for intake, candidate management, and hiring workflow orchestration for the company.
Workable ATS was configured to manage core Applicant Tracking System workflows including job requisition creation and approvals, multi-channel job posting, candidate sourcing, resume parsing, applicant pipeline management, interview scheduling, and offer tracking. Configuration emphasized structured pipelines and stage-based automation to standardize candidate progression and reduce manual handoffs between recruiters and hiring managers. The implementation included configuration of user roles, permission sets, and recruiter/hiring manager collaboration features within Workable ATS.
Governance focused on role-based access control, standardized interview guides, evaluation templates, and approval workflows to enforce consistent selection criteria across hiring teams. The deployment also incorporated applicant data retention settings and operational reporting to support HR operations and compliance reporting, establishing Workable ATS as the centralized system for recruitment workflow and hiring governance at KCGM.

| Pronto Software | Legacy | Pronto Xi Asset and Facility Management | Asset Performance Management | ERP Services and Operations | n/a | 2021 | 2021 |
In 2021, KCGM implemented Pronto Xi Asset and Facility Management to correct maintenance and inspection planning for an online analyser that had been inspected and calibrated by an external vendor through 2019 but was not serviced in 2020 or 2021. The work centered on Asset Performance Management to reestablish recurring calibration and inspection controls for instrumentation assets. The correction was recorded in December 2021 as a change to the maintenance planning schedule within KCGM.
Pronto Xi Asset and Facility Management was configured to create recurring maintenance tasks, schedule quarterly inspections and calibrations, and register annual maintenance events for the online analyser, aligning with standard preventive maintenance and calibration workflows common to Asset Performance Management systems. The implementation captured calibration events and inspection records as discrete maintenance activities, enabling planned work orders and traceable maintenance history for the affected equipment. The system configuration emphasized maintenance planning, work order generation, and asset condition tracking for instrumentation.
Operationally the change impacted maintenance planning and operations teams at KCGM, with the maintenance planning system at KCGM becoming the authoritative schedule for quarterly and annual activities. A calibration and maintenance inspection was carried out in January 2022, reflecting the new scheduled cadence established in December 2021. The narrative documents a governance adjustment to formalize inspection frequency and maintenance scheduling for the online analyser under Pronto Xi Asset and Facility Management.
