Configuration work emphasized transactional controls and data entry procedures used by Operations Team Administrators, with day to day SAP invoicing and goods receipt posting as core activities.
Operational execution included expense claims processed using Flexipurchase and ID card issuance using Datacard, with staff performing SAP invoicing, goods receipting, KLE data entry and AMOS audit related tasks as part of routine operations. The rollout impacted Operations, HR and Learning and Development through shared administrative tasks and temporary Operations Team Administrator roles handling data entry, travel arrangements, filing and newsletter support as part of the governance and operational cadence.

In 2021, KiwiRail implemented SAP SuccessFactors Compensation as its Compensation Management solution to manage annual and consecutive compensation cycles across the organization. The deployment was embedded within the broader SAP SuccessFactors suite used at KiwiRail to support total rewards and performance workflows.
Configuration work covered multiple SAP SuccessFactors modules, including Employee Central Core, Performance & Goal Management, Calibration, Compensation Cycle, Competency Management and Career Development, and Succession Planning. The implementation included management of Foundational Objects, the Metadata Framework MDF, and Generic Objects, along with creation and management of PMGM form templates, goal templates and calibration templates for consecutive performance cycles. Compensation templates were created and managed for consecutive compensation cycles using SAP SuccessFactors Compensation.
Integrations and operational coverage focused on data migration processes to upload employee and foundational data from HCM into SuccessFactors, and on maintaining both production and test environments for configuration validation and release testing. Reporting and analytics were delivered through canvas reports and story reports to provide managers and senior management with compensation and performance visibility. Day to day administration and end user support were provided by an internal Human Resources Information System specialist function.
Governance and workflow restructuring were implemented through Role Based Permissions to create roles and assign permissions, routine management of MDF and foundational data to enforce data model consistency and security, and standardized calibration and compensation workflows to support consecutive cycles. The program included an annual cadence to analyse and implement recommended SuccessFactors upgrades and releases, with iterative template and permission adjustments to align with evolving HR policy. Calibration sessions and compensation cycles were instrumented as repeatable processes within the application.
Operational ownership rests with KiwiRail HR and HRIS teams who manage administration, reporting, data migrations and user support for SAP SuccessFactors Compensation. Internal capability includes SAP SuccessFactors Performance and Goals certification among HRIS staff to support ongoing module configuration and support. The SAP SuccessFactors Compensation application underpins Compensation Management business functions and integrates with core HR and performance management processes at KiwiRail.
