The implementation leveraged Ultimus Digital Process Automation Suite capabilities for discovery, modeling, automation and measurement, with centrally installed customer and machine parts databases to support form pre population and automated data exchange. Configuration included mandatory field enforcement, priority based completion and extension timers, group based routing for flexible task assignment, plausibility checks to reduce human error and signature controls to enforce approval legitimacy.
Architecture and integrations emphasized a web based topology to tie distributed sites together over the Internet, using Ultimus out of the box interfaces and integration tooling to transfer data automatically into the host system. Ultimus selected a German process consultancy and development partner to conduct process discovery in KBA Mödling, to build and test the workflow, and to deploy the process to the appropriate users.
Governance and process redesign were executed through structured discovery workshops where required fields, roles and routing rules were defined, enabling traceability and real time status tracking for all participants. Process orchestration was revised to route inquiries dynamically to the correct site, reduce bottlenecks through group tasks, and instrument reporting for continuous optimization.
Outcomes reported by Koenig & Bauer Kammann include markedly improved transparency and quote quality, elimination of extensive manual entry where staff had previously re keyed up to 1,000 parts from faxed requests, and a reduction in cycle times from weeks to hours.
