In 2016 Ladbrokes Coral implemented Benefex OneHub | Benefits in the Benefits Administration category. That work was executed as part of an ERP HR and Payroll Transformation Programme running January 2016 to May 2019 covering Ladbrokes Head Office and Retail Operations, with PwC engaged as the analysis and design partner providing SME support and project assurance. The programme scope included HR, Payroll, Training Administration, Talent Planning and Workforce Scheduling to align benefits administration with the broader hire to retire lifecycle.
Benefex OneHub | Benefits was configured to centralize benefits administration and to integrate with the redesigned HR processes, backed by formal artifacts such as Business Process Design BP.070 and Application Configuration BR.100. Implementation activities included design of Key Flexfields for Job, Grade and Position, development of around 30 fast formulas, and creation of Functional Design MD.050 documents for 20 CEMLIs to support complex integration and reporting requirements.
An integration architecture was designed in the absence of a sophisticated integration tool, specifying explicit interfaces to Oracle HCM R12.2, Kronos v7, Oracle RightNow, Changework Now and Capita Orbit for pension administration. Master data and timecard interfaces for Kronos were defined to ensure accurate time and absence feeds into payroll, and CV.40 Data Dictionary templates supported data migration mapping into Oracle HR and payroll systems. A Payroll Parallel Run Approach and Data Conversion CV.10 approach were produced to govern cutover and validation activities.
Governance and rollout were managed under a Design Authority with Solutions Architect oversight, using Conference Room Pilot workshops to validate 75 plus Level 3 process maps covering onboarding, employee maintenance, compensation and benefits administration, absences, performance reviews, training and exit processes. Security design detailed user responsibilities and segregation of duties for HR Life Cycle, Payroll, Finance, Rewards, Training, IT and Employee Relations teams, and harmonization work reduced job and grade complexity across the organisation.
