SAP Legacy SAP Concur Expense Expense Management ERP n/a 2017 2017
In 2017, Lightning Source, Inc. implemented SAP Concur Expense as its core Expense Management solution to centralize travel and expense workflows for commercial and executive functions. The deployment targeted administrative assistants and executive support teams who submit and review expense reports for the Vice President and General Manager, Commercial, and supported Sales, Sales Operations, and Product Merchandising reporting areas across La Vergne Tennessee, the Nashville area, New York, Berkeley and other commercial sites. The SAP Concur Expense implementation focused on standard expense reporting and approval workflows, automated manager routing for VP and GM signoff, receipt capture and submission, and travel expense handling. SAP Concur Expense was configured to enforce travel and expense policy checkpoints during report review, and administrative staff used the system to prepare and submit expense reports, create check requests for donations, and validate compliance with internal travel rules. Operationally the rollout coexisted with SWABIZ for airline booking and with Conga for contract retention processes, with administrative teams trained to book travel in both Concur and SWABIZ and to coordinate contract retention activities with Conga. The solution supported handoffs to Facility Services and WLS for logistical coordination, and it was used by commercial staff and executive assistants to orchestrate travel bookings, hotel arrangements, meeting logistics and expense submission across the commercial organization. Governance centered on role based approval workflows and localized training, with administrative assistants responsible for training all Commercial staff on booking travel in Concur and SWABIZ and on submitting expenses through Concur. Review processes were formalized so that expense reports submitted for VP and GM approval were checked for policy adherence prior to signoff, aligning expense processing with existing commercial reporting and administrative controls.

A sourcing specialist from Ingram Content Group is quoted on CareerBuilder's Recruitment Edge page reporting immediate sourcing successes and interviews scheduled shortly after using the tool, indicating active use by recruiting and HR teams. Deployment focused on candidate sourcing and rapid outreach workflows, using Recruitment Edge to build pipelines, surface matched candidates, and schedule initial interviews. These capabilities align with standard Recruiting functionality such as sourcing automation, candidate engagement, and interview coordination. Operational coverage was within recruiting and talent acquisition teams in the United States, where recruiter led sourcing and interview coordination governed day to day use rather than enterprise wide HRIS orchestration.

SAP Legacy SAP Concur Travel Travel Management ERP Services and Operations n/a 2017 2017
In 2017, Lightning Source, Inc. implemented SAP Concur Travel to centralize Travel Management for executive and Commercial teams. The deployment targeted support for executive assistants and the Commercial reporting areas, explicitly covering Sales, Sales Operations, and Product Merchandising workflows that require travel booking, itinerary coordination, and expense reconciliation. The implementation configured SAP Concur Travel to support core travel booking and expense management capabilities, including itinerary and hotel reservation workflows, international travel arrangements, expense report submission and approval routing, and policy enforcement for corporate travel. Configuration emphasized approval routing and expense validation consistent with executive review, enabling administrative staff to prepare and submit expense reports on behalf of executives and to enforce travel policy during submission. Operational coverage included the La Vergne Tennessee site and adjacent Ingram Content Group locations mentioned in staffing notes, such as Nashville, New York, and Berkeley, supporting onsite executive travel planning and customer or supplier visit coordination. Staff training and operationalization were a clear element of the rollout, with the Administrative Assistant role responsible for training Commercial staff on booking travel in both SAP Concur Travel and SWABIZ, and for reviewing expense reports for Vice President and General Manager approvals. Governance and process changes focused on embedding SAP Concur Travel into existing administrative workflows, formalizing expense review and approval steps, and aligning travel booking practices with Commercial reporting cycles. The deployment linked travel and expense activities to recurring Commercial reporting tasks, such as the Commercial Weekly, Bi-Monthly Commercial Business Review, and related meeting minutes and presentation preparation, positioning SAP Concur Travel as the primary tool for Travel Management across Commercial business functions.
