Lightspeed is using Coupa Expense to standardize controls across jurisdictions and to centralize approval workflows and delegation rules.
Coupa Expense was configured to leverage automated approval and delegation features, expense report processing, and compliance controls typical of Expense Management implementations. The deployment emphasis was on approval orchestration and delegation logic to manage compliance wherever and whenever it applies to POS operations worldwide. Lightspeed used platform training early in the program to set expectations and limit rework during configuration.
Lightspeed partnered with Canadian advisory firm Acquis to streamline integration and compliance initiatives, with Karl Ruelokke noted as instrumental during go-live and platform training. The integration scope includes onboarding acquired entities and planning additional system connections, with a defined phase two to connect Coupa Expense to Lightspeed’s HR system for expense reports. Operational coverage spans finance and accounts payable teams supporting POS operations across Lightspeed’s international sites.
Governance changes included early platform training to align stakeholder expectations and embedding Acquis best practices into rollout and support processes, with Acquis providing hands-on assistance during go-live. The program remains iterative, proving value in core AP and compliance processes before expanding integrations to more internal systems. Coupa Expense, Lightspeed Commerce Expense Management, and the Acquis engagement together form the current foundation for ongoing compliance, approval automation, and post-acquisition spend standardization.
