In 2020, Macquarie University implemented Workday HCM as its Core HR platform to create a one stop shop for HR services across the institution. Workday HCM was configured to centralize core human capital management functions including timekeeping consolidation, recruitment and talent management, payroll adjacency, learning management intake, and performance and development workflows. The deployment emphasized automation and self service, enabling staff and managers to complete HR activities on mobile devices, and replacing manual workarounds and double entry with electronic transactions and standardized DPR templates.
The implementation integrated Workday Adaptive Planning and the self service analytics solution Prism to link staffing data into planning and budgeting processes, providing leaders with real time organization charts, leave visibility including associated leave liability, and position level employment budgeting. These integrations supported closer alignment between People and Finance, and gave managers the ability to engage with workforce planning using consistent, system generated data rather than spreadsheets.
Governance and process changes accompanied the technical deployment, with standardization across the Macquarie University Group, automated processes for performance improvement and succession planning, and a move away from fragmented timekeeping and multiple bespoke templates. Staff feedback and early adoption indicators were positive, and the program was positioned as a foundation for continued phases expanding talent, performance, adaptive planning, and analytics capabilities using Workday HCM.

Macquarie University had been a long term customer of Scientia, whose timetabling solution was acquired by TechnologyOne in 2021 and transitioned from on premise to a complete SaaS timetabling and scheduling solution.
