| SAP | Legacy | SAP S/4 HANA | ERP Financial | ERP | Arvato | 2018 | 2019 |
In 2018 Maritime and Coastguard Agency implemented SAP S/4 HANA as part of a Department for Transport finance programme where the DfT served as the pathfinder organisation for integrating the new finance platform. The SAP S/4 HANA deployment is positioned as the agency instance within a multi-agency programme that includes the DVLA, VCA and DVSA, and it anchors an ERP Financial consolidation across DfT executive agencies.
The implementation configured SAP S/4 HANA to deliver standard ERP Financial capabilities, including core general ledger processing, accounts payable and receivable workflows, cash and bank management, and consolidated financial reporting. Configuration work emphasized shared service finance processes and a centralized chart of accounts to align transactional finance and statutory reporting across participating agencies.
Arvato was contracted to support and operate the back-office shared service transformation from its Swansea site, and to transfer the centre’s two ERP systems, Agresso and SAP, onto a new cloud hosted technology platform. The deployment architecture therefore combined cloud hosting for the SAP S/4 HANA environment with operational support and service orchestration from the Swansea centre, and included enablement for civil servants to handle administrative processes from personal mobile devices in addition to government supplied devices.
Programme governance was led through the DfT pathfinder model with Arvato as the delivery and support partner under a contract that extended operational support through 2023. Rollout planning emphasized shared services orchestration across departments and agencies, centralized hosting and operational ownership at the Swansea site, and the integration of previously coexisting Agresso and SAP systems onto the cloud platform.

In 2021 Maritime and Coastguard Agency deployed Ruby Live Chat on its public website. The Ruby Live Chat implementation serves as the primary web-facing conversational channel for citizen inquiries, embedded on contact and service pages to support maritime safety and administrative queries.
The implementation uses capabilities typical of the Chatbots and Conversational AI category, including a browser-based live agent console, canned responses and scripted messaging, session handoff between automated prompts and human agents, and basic visitor context capture for triage. The deployment follows a cloud-hosted SaaS architecture with an administrative portal for configuring agent queues and message templates, and operational coverage focused on public information and front-line communications. Governance centered on role-based administrative access and scripted response controls to maintain consistent public messaging while matching the agency operational staffing profile.

| Intuit | Legacy | Intuit Mailchimp | Marketing Automation | CRM | n/a | 2017 | 2017 |
In 2017, the Maritime and Coastguard Agency implemented Intuit Mailchimp on its public website. Intuit Mailchimp is used as the agency's Marketing Automation platform to manage subscriber lists, publish email campaigns, and capture opt in signups directly from government web pages.
The deployment is a cloud SaaS implementation of Intuit Mailchimp configured for audience management, campaign templates, automated send scheduling, and embedded signup forms. Configuration focused on list segmentation, template standardization for public communications, and basic reporting and campaign analytics typical of Marketing Automation workflows.
Integration scope is limited to the agency website where Mailchimp signup forms are embedded and campaign distribution is initiated from the central Mailchimp account. Operational ownership is concentrated in the communications team, with account level administration, segmented subscriber lists for stakeholder categories, and routine campaign scheduling and list hygiene processes.
Governance emphasizes centralized account control and standard operating procedures for creating and approving campaigns, maintaining subscription lists, and handling unsubscribe requests. The narrative reflects a small agency SaaS footprint, using Intuit Mailchimp to support external communications and subscriber outreach rather than complex multi system orchestration.
