Coupa Software Legacy Coupa Invoice AP Automation ERP n/a 2018 2018
In 2018, Maximus deployed Coupa Invoice as an AP Automation solution to centralize accounts payable processing for vendor and contractor invoices. The deployment established Coupa Invoice as the primary invoice intake and routing platform used by accounts payable specialists and payment teams across the organization. The implementation encompassed core AP Automation capabilities including electronic invoice capture, configurable approval workflows, PO matching and supplier invoice processing, consistent with typical vendor invoice lifecycle management. Coupa Invoice was used directly for processing vendor and contractor payroll invoices and participated in beta testing activity for a new ERP-related rollout that included Coupa functionality. Operational coverage tied the Coupa Invoice deployment to accounts payable, travel and expense auditing, payment research and problem resolution, and facilitation of check requests, reflecting hands-on use by AP specialists who also performed variance analysis for state auditors. Administrative activities for statewide Outreach employees were conducted in parallel using Staff Central and Deltek databases while Coupa Invoice handled invoice and payment workflows. Governance and process controls emphasized invoice audit trails, exception handling for disputed payments, and department policy editing to align AP procedures with system workflows. Coupa Invoice serves as the AP Automation platform supporting Maximus accounts payable and expense audit workflows.

Workday Legacy Workday Absence Management Absence and Leave Management HCM n/a 2018 2018
In 2018 Maximus implemented Workday Absence Management to centralize Absence and Leave Management across its planned global Workday footprint. The deployment was positioned as the absence and leave component within a broader Workday program that included Core HCM, Payroll, Time Tracking and Performance Management for seven countries. Workday Absence Management was configured to support standard absence capabilities such as absence plan and entitlement setup, accrual calculations, absence event tracking, employee leave requests and manager approvals, and consolidated absence reporting. The implementation focused on policy configuration and workflow automation consistent with Absence and Leave Management best practices, enabling standardized leave rules and compliance tracking across organizational units. Integration scope included direct data flows between Workday Absence Management and Core HCM, Payroll, Time Tracking and Performance Management as part of the coordinated Workday rollout, with cross functional coordination among IT, Finance, Security, Digital, Operations, Privacy and Legal. The architecture reflected a centralized Workday tenant approach with country level absence plan variations configured to meet local statutory and business rule requirements across the seven-country operational scope. Governance and delivery were led by the Director HRIS who managed a 65 person project team and drove project management, planning and process redesign efforts. The HRIS lead also executed a program to streamline the HR change control process, provided mentoring and process improvement guidance, and reported into the VP HRIS with a dotted line to the CHRO to align governance for absence and leave operations.

Equifax Legacy Equifax Unemployment Cost Management Insurance Claims Management ERP Services and Operations n/a 2018 2018
In 2018, Maximus implemented Equifax Unemployment Cost Management within its Insurance Claims Management stack to formalize unemployment claims handling for a federal contract site in Brownsville, TX. The implementation targeted Human Capital and HR operations supporting exempt and non-exempt populations and positioned Equifax Unemployment Cost Management as the central claims adjudication engine for unemployment cost containment and hearings workflow. Equifax Unemployment Cost Management was configured to support case intake, claim adjudication, and hearings coordination, with functional emphasis on unemployment claims lifecycle management and adjudication tasks. Configuration work concentrated on role-based access for HR adjudicators, claim status tracking, and case documentation management to align unemployment workflows with existing HR processes such as terminations, voluntary resignations, and job abandonment handling. The deployment integrated with Case Builder for hearing and case tracking and operated alongside Cherwell ticketing for employee inquiries related to payroll, benefits, and FMLA, reflecting cross-system orchestration between claims management and HR service delivery. The implementation touched adjacent processes including unemployment claims and hearings, payroll issue resolution through the self-service payroll system, Workman’s Compensation incident reporting, and federal background check workflows including eQip administration. Governance and operational controls were enforced through centralized case handling and audit-ready documentation, with Maximus HR staff acting as liaison between the client and local operations to ensure contractual compliance. The team reported practical outcomes tied directly to the deployment, including representation in multiple client audits with zero findings and support for a rapid ramp down of 300 employees over a two month span, demonstrating operational readiness of Equifax Unemployment Cost Management in the Insurance Claims Management domain.
