In 2022 Millennium implemented Workday Benefits as its Benefits Administration solution to centralize benefits enrollment and vendor feeds across its Americas payroll environment. Workday Benefits was positioned to support the payroll and HR ecosystem that processes bi-monthly US and Puerto Rico payroll for more than 2,000 employees and to coordinate with a third-party vendor for Canada payroll processing.
The implementation focused on configuring benefits enrollment workflows, census management, and vendor output forms, including the use of Flexi-forms for vendor inputs. Workday Benefits was also configured to accept and prepare inbound and outbound data using EIBs, enabling the payroll team to prepare and load data into Workday as part of routine payroll runs and audits.
Integrations were instrumented and monitored between Workday Benefits and downstream payroll and financial systems, explicitly including feeds to 401K and Flexible Spending accounts, general ledger transmissions, and time and attendance processes. The deployment supported cross-system reconciliations, validation of gross to net reporting, and run-time monitoring of integrations to and from third parties to ensure accurate transmission of benefits elections and deductions.
Operational governance was structured around close collaboration among HR, Benefits, Compensation, Finance, and Legal, with the payroll team executing tasks such as onboarding payroll setup, off cycle termination payments, quarterly tax reconciliations, and audit report preparation. Routine processes included preparing reconciliations, running and validating integrations, responding to employee payroll and benefits inquiries, and supporting ad hoc projects requested by partner departments.
