SAP Legacy SAP Concur Expense Expense Management ERP Financial Management n/a 2021 2022
In 2021 Monash University deployed SAP Concur Expense as its enterprise expense management application within a broader finance applications portfolio. The implementation positioned SAP Concur Expense as the central Expense Management tool supporting travel and employee reimbursements across Purchasing Services and Accounts Payable functions. The deployment emphasized core Expense Management capabilities, including digital expense capture and receipt imaging, automated policy validation and exception routing, multi level approval workflows, and structured expense reporting for month end posting. SAP Concur Expense was configured to enforce corporate travel and expense policies and to streamline travel related expense workflows alongside existing purchasing controls. The Concur rollout was implemented in the context of Monash University’s finance stack which includes an eProcurement platform Coupa and a business to customer platform Magento, with SAP Concur Expense operating as the designated travel and expense system. Operational coverage explicitly included Purchasing Services, Accounts Payable, Supplier Engagement, Stores, and Travel and Expenses Management, with expense data channeled into university finance processes for coding and processing. Governance for the SAP Concur Expense implementation was led by the Director, Finance Strategy and Operations and aligned to ongoing process improvement efforts across Purchasing to Payment services. Oversight focused on policy enforcement, approval workflow configuration, and embedding expense controls into established finance operations and supplier engagement practices.

PageUp Legacy PageUp ATS Applicant Tracking System HCM n/a 2016 2017
In 2016, Monash University deployed PageUp ATS as its Applicant Tracking System on the university careers website to centralize external job posting and candidate intake. The implementation placed PageUp ATS at the front end of Monash recruitment workflows, surfacing public job listings and application forms directly on the careers portal. The deployment leveraged standard Applicant Tracking System capabilities, including job requisition creation, vacancy publishing, candidate application capture, configurable application workflows, candidate database management, and workflow-driven screening and interview coordination. Configuration work focused on aligning application forms and workflow states with university hiring practices and role-based access for recruiters and hiring managers. Operational coverage included core HR recruitment teams and distributed hiring managers across Monash University, with PageUp ATS operating as the primary applicant funnel for external hires via the careers site. The implementation emphasized career site integration and the consolidation of applicant data into a centralized candidate repository to support recruiter-led sourcing and selection activities. Governance work centered on standardizing approval steps, defining recruiter and hiring manager responsibilities within the system, and establishing centralized administration for user roles and permission controls. PageUp ATS was positioned to enforce consistent hiring workflows and application handling across Monash University recruitment channels.

PTC Legacy PTC ThingWorx Asset Advisor Asset Performance Management ERP Services and Operations n/a 2020 2020
In 2020, Monash University implemented PTC ThingWorx Asset Advisor as an Asset Performance Management platform to underpin the Monash Engineering Student Pilot Plant and to provide engineering students with hands-on exposure to industrial digital technologies. The deployment targeted education and operational learning use cases, combining a digital twin of a membrane-based water treatment process with Internet of Things data capture and augmented reality experiences for Bachelor and Master of Engineering courses. PTC ThingWorx Asset Advisor was configured to ingest telemetry from field devices such as control valves and flow meters, host the digital twin model, and surface condition and process data for both online and offline analysis. AI and machine learning are applied to digital twin outputs to support online process optimization and scenario-based simulations, while Vuforia Studio-based AR is used as a visualization and human machine interface to expand access to the system. Ansys simulations feed into the ThingWorx digital twin to enrich the simulation fidelity used for teaching and design exercises. Integrations include ThingWorx connected to Vuforia Studio for AR visualization and to Ansys for simulation inputs, with IoT device telemetry flowing from the pilot plant into the ThingWorx Asset Advisor environment. Monash engaged PTC and LEAP to deliver the integrated AR and digital twin experience, enabling rapid prototyping of 3D plant models and an AR-enabled HMI that was demonstrated at true scale before physical equipment installation. Operational coverage spans on campus pilot plant operations, remote access for students, planned industry demonstrations, and incorporation into teaching, training, and short course activities. Governance and rollout were oriented around pedagogical and operational objectives, the initial AR experience was created in a matter of weeks to accelerate teaching use, and training curricula are being structured to leverage digital twin-based familiarization, remote walkthroughs, and scenario-based troubleshooting. The program design emphasizes removal of physical lab bottlenecks, scalable remote access for concurrent student use, and use cases for design, capacity planning, and advanced control and automation. Outcomes stated by Monash include an enhanced, more authentic learning experience for hundreds of students per week, reduced dependence on limited physical equipment, and a demonstrable exemplar for industry engagement and workforce readiness, with the platform intended to support future expansion to additional industrial processes and always available remote access for self-directed learning.
