Mondo Acqua ARXivar Document Management Document Management supports the capture and distribution of water services, sewerage management and wastewater treatment operations by formalizing document flows tied to operational control and compliance reporting. The implementation configured Active Cycle and Passive Cycle storage patterns within ARXivar Document Management. For Active Cycle documents Spool Recognition rules were created to extract data and populate profile fields automatically, while Passive Cycle documents were ingested using a barcode technique that applies a label to each physical document according to shared rules for unattended mass scanning. The ARXivar solution included document organization and process management configuration to maintain existing operator workflows. A direct integration was implemented between ARXivar and Sme.UP ERP to enable profile population, and the connector supports printing and reprinting of barcode labels by retrieving document profile data from Sme.UP ERP. Documents stored in ARXivar are accessible from various Sme.UP ERP applications, and the integration was designed so that storage, retrieval and process execution did not disrupt operators’ day to day activities. Mobile electronic access was enabled for the network of field operators to consult stored records. Governance work focused on formalizing and standardizing procedures to respect the operational uniqueness of the company, enforcing processes so activities are process driven, and maintaining a single source of truth for document versions and procedures. Workflow re engineering underlies daily activities and the tracking system was configured to provide direct access to the history of operations for decision makers and controllers. Explicit outcomes from the deployment include optimizing and simplifying employee work, electronic access via mobile devices for territorial operators, re engineering of workflows that support daily operations, faster collaborative processes, and direct access to the tracking system of all operations carried out. |
