The implementation targeted accounts payable operations that handle approximately 90,000 supplier invoices totaling over $700 million Canadian annually, and integrated with the agency accounting platform SAP R3 to move validated invoices into payment allocation and filing workflows.
The technical design combined Artsyl InvoiceAction with Artsyl docAlpha data capture capabilities to automatically digitize, classify and extract structured and unstructured invoice data. Functional modules implemented included document capture and OCR, intelligent classification, field extraction for supplier name, date, line item references, unit price, quantity, amount and HST type, automated PO and delivery slip matching, exception routing, approval workflow orchestration and release of validated transactions to SAP R3 for posting.
Connectis Group provided the implementation and process design, translating NRCan requirements into a compliant accounts payable workflow and accelerating delivery relative to customizing SAP R3. The solution was configured to meet NRCan legal and security requirements, and governance changes included electronic routing for Section 34 verification and role based approval routing for managers and AP clerks to enforce audit controls and visibility.
Results reported by NRCan were operational and control oriented, including a 75% reduction in invoice cycle times enabling AP clerks to process invoices within payment terms. Additional explicit outcomes included rapid SAP R3 integration, automated exception handling for incomplete or incorrect invoices, simplified Section 34 verification through electronic signature and routing, and complete liability tracking with end to end process transparency.

The deployment integrated Artsyl docAlpha with the agency SAP/R3 accounting system for payment allocation, invoice approval, accounting entries and document filing, creating an end to end capture to payment release flow. Connectis Group provided the technical implementation and translated NRCan requirements into a working invoice automation solution more rapidly and cost effectively than customizing SAP/R3.
Governance controls were embedded in the automated workflows to meet NRCan legal and security requirements, enforce audit controls and provide 100% liability tracking and process transparency. Automated exception handling standardized responses to incomplete or incorrect invoices and simplified manager verification through electronic routing and signatures, restructuring day to day AP processes and approval workflows.
As a result of the Artsyl docAlpha implementation NRCan reduced invoice cycle times by 75% and enabled accounts payable clerks to process invoices within payment terms. Additional documented outcomes included rapid SAP/R3 integration, automated exception handling, simplified Section 34 verification with electronic signatures and complete process transparency.
