In 2020, NeoSystems implemented SAP Concur Travel as its Travel Management platform to standardize travel and expense operations across its project-based services business. NeoSystems validated the solution internally before offering it to government contractor clients, using the internal deployment as a proof of concept and a basis for its later partner and reseller activities with SAP Concur.
The implementation instrumented core Concur modules including Concur Travel & Expense, Concur TripLink, Concur Request, ExpenseIt, Concur Detect by AppZen, Travel Allowance, Budget, Client Web Services, Amex Card Integration, and Concur Drive, with consultative intelligence, service administration and a user support desk layered into the program. Mobile-first capabilities, OCR receipt capture via ExpenseIt, automatic distance capture for mileage, and AI-driven auditing with Concur Detect were configured to automate data capture, enforce coding rules, and accelerate report preparation and submission.
Architecturally the deployment used cloud-based Concur services with a Concur to Costpoint web services connector, enabling real-time validation flow from Deltek Costpoint into SAP Concur Travel. Project Work Force, Project Account Groups and organizational validations from Costpoint were extended into Concur so that project and WBS validations occur at expense entry, and three-way matching of authorization, itinerary, and receipt is enforced. The solution also integrated booking and duty of care workflows with travel management companies, airlines, rental car partners, and corporate card feeds via Amex integration to deliver an end-to-end travel lifecycle.
Governance and workflow restructuring centered on embedding compliance into the user experience, with customized rules to guide users through compliant submissions and automated approval routing to reduce manual review. Concur Detect assigned risk scores, triggering targeted audits rather than blanket manual checks, and the system produced a full audit trail to support JTR and FAR requirements including per diem and Fly America Act validations. The deployment model supported NeoSystems’ client-facing productization, enabling the company to package an Aerospace, Defense, GovCon bundle for mid-market government contractors.
Explicit outcomes reported by NeoSystems following the SAP Concur Travel implementation include a roughly 15 percent reduction in the time staff spend creating and submitting expense reports, a 20 percent decrease in expense processing times, and at least a 15 percent reduction in time spent on compliance audits. The solution also reduced the month-end processing crunch and improved adherence to published payment dates, enabling NeoSystems to offer integrated Travel Management and expense-to-ERP workflows to its Costpoint clients.
