In 2016 Ohio Association of Foodbanks implemented Sage 100 (formerly MAS 90 & MAS 200) as its ERP Financial system. The deployment was framed to centralize core accounting and accounts payable workflows for the association that supports Ohio's 12 Feeding America foodbanks and a 270 person organization.
Sage 100 was used to operationalize accounts payable processing, vendor master maintenance, general ledger coding and check printing workflows. The implementation aligned the Accounting Coordinator and finance leadership to perform invoice capture, GL corrections, invoice matching to receiving reports and Bills of Lading, and printing and distribution of vendor checks within the ERP Financial environment.
The accounting intake process continued to use a FileMaker database as an input and matching tool, with invoice records entered into FileMaker and then transacted into Sage 100 for payment processing and reporting. The system also supported the weekly compilation and submission of Core Food program invoices to the State of Ohio, reflecting program billing and state reporting needs within the ERP Financial implementation.
Governance and operational changes emphasized strict accounts payable controls, vendor file maintenance inside Sage 100, documentation retention and approval signature workflows. The role profile and hiring preference for Sage 100 experience indicate the implementation was anchored in finance team operations overseen by the Director of Finance and Finance Manager, with the Accounting Coordinator executing day to day AP and vendor management tasks.
