The platform integrates people data from Arup’s People & Culture function into the Eptura environment, creating a holistic dataset that links personnel profiles to assigned and flexible workspace. Consolidation of site data into the single Eptura platform provides a common reference for space utilisation analysis and scheduling, improving visibility across formerly disconnected systems. Integration work focused on synchronising headcount and location attributes, enabling coordinated space allocation and desk hoteling patterns.
Governance and process changes accompanied the technical rollout, with standardized workplace processes introduced to replace disparate local practices and a phased global rollout across the 80 sites. Operational ownership was aligned between Facilities, Workplace Experience, and People & Culture teams to manage configuration standards, change control, and user onboarding across regions. Visitor management was introduced in targeted offices first to validate workflows before broader propagation.
Reported outcomes include a unified approach to workplace management, improved space usage planning, and enhanced employee experience through consistent services and engagement tools. The deployment positions Ove Arup Systems to manage space decisions from a consolidated Facility Management platform while supporting cross site mobility and a consistent workplace experience.
