In 2019 Phillips 66 implemented SAP Ariba Invoice in Houston, Texas as an AP Automation initiative to centralize invoice intake and approval workflows. The implementation paired SAP Ariba Invoice with an OpenText VIM 16.3 SP5 deployment to support both PO and Non-PO invoice processing scenarios and to standardize end to end invoice orchestration.
The project configured and enhanced OpenText VIM standard functions for field mappings and updates, and implemented process flows for PO and Non-PO scenarios. ICC, IDoc, Email and Ariba input channels were configured for invoice processing, and Fiori applications were configured for invoice approvals. Custom SAP and Fiori applications were designed and developed to enable invoice mass approvals and rejections.
On the data and reporting layer HANA CDS views were extended to add custom fields to standard reports supporting VIM Analytics, and VIM Central reports were activated and enhanced to improve visibility. The architecture combined VIM as the invoice capture and processing engine with SAP Ariba Invoice input channels and SAP Fiori for user facing approval workflows, using ICC and IDoc for back end system interfacing.
Governance changes included configuration of VIM Chart Of Authority to enforce invoice approval chains and enhancements to the standard VIM Return to Vendor functionality to support operational exception handling. Operational coverage focused on accounts payable and finance processes in Houston, with process flow design targeted at consolidating invoice handling and approval orchestration.

In 2013, Phillips 66 implemented UKG Workforce Central Absence Manager (ex Kronos Workforce Absence Manager) for Absence and Leave Management to standardize absence, accrual tracking and leave workflows across multiple production locations and HR and Payroll functions. The deployment focused on the core Workforce Central suite and included Time and attendance, Absence management, Device Manager, Workforce Integration Manager, Workforce Scheduler and Workforce Analytics modules to address timekeeping and leave administration needs.
Configuration work centered on Kronos Workforce Central components and pay rule constructs, including development of payrules, workrules, paycode profiles, paycodes, wage profiles, FAPs, schedules, labor levels and labor level sets. Accruals were configured end to end from holiday setup to accrual plans in a multi organization environment, with access profiles, process profiles and advanced scheduler adjustments to align eligibility and leave rules with HR practices. The implementation also included configuration of Kronos 4500 and 480 time clocks using Workforce Device Manager and Workforce Device Manager configuration files.
Integrations were executed through Workforce Integration Manager and Kronos connect interfaces to synchronize employee demographics, accruals, time detail and payroll hours with enterprise systems, explicitly including PeopleSoft HR and Payroll, Oracle database environments and Epic clinical systems, and a designed interface with Agile Assets. Data migrations and conversions moved information from Excel and SharePoint into SQL Server, and SQL developers collaborated on mass downloads and WIM-driven interface scripts to populate the UKG Workforce Central Absence Manager environment.
Governance and operationalization were supported by a defined CRM service cycle, change management, training and production support processes. Testing activities included end to end integration testing, parallel payroll validation, quarterly tax release validation, yearend and contingency scenarios, and WIM go live activities that moved lookup tables, interfaces and links into production. Ongoing responsibilities covered support, analysis, troubleshooting and iterative configuration changes, with established error reporting, escalation and management processes and SDLC practices using both Waterfall and Agile methods.

Phillips 66 relied on information compiled through Datacert's e-billing solution as part of the Passport implementation to surface true costs of litigation. That dataset informed legal operations and in-house counsel decision making around case resolution timing and risk evaluation.
Governance changes included formalizing early case assessment and risk analysis processes so that matter intake, cost review, and resolution planning were driven by system data. The company reported that use of the system produced significant benefits to early case assessment and risk analysis, improving how the legal team focused efforts on resolving cases as early as possible.
