In 2015 Pomona College began implementing Workday Financial Management as an ERP Financial solution for The Claremont Colleges consortium. Phase III went live in January 2018 and extended the deployment to a suite of human capital management and payroll modules, bringing HR and payroll into the same cloud financial application. Workday Financial Management was configured to provide integrated budgeting and planning tools, embedded electronic workflows and document management to support standard financial controls and approval flows.
The deployment uses Workday cloud architecture to provide mobile access and high level system security, with semiannual Workday updates incorporated into the operational cadence. Workday can be accessed through the Finances Staff/Faculty portal and via Workday's website, where training manuals and user resources were published to support adoption and daily operations.
Operational scope included finance, sponsored programs and project accounting across Pomona College as part of the Claremont Colleges collaboration, impacting general ledger, accounts payable, non student accounts receivable, grants administration, fixed asset management, capital project accounting, human resources and payroll business functions. Process governance emphasized electronic approval workflows and document management to standardize controls and reporting across participating colleges.
