Staff at each school scan vendor invoices into DocuWare, the Accounting Department performs the three-way match online, and the system routes invoices for approval, enabling approvers to view supporting documentation without paper handling. Document management is provided by DocuWare, which receives scanned documents from school sites and exposes them to Accounting staff and approvers through online access and workflow routing. The operational coverage spans individual school staff who capture documents and central finance personnel who execute matching, approval routing, and check signing while referencing stored documentation in DocuWare. Governance and process changes included a transparent invoice approval process and electronic routing that removed reliance on physical files and manual status checks. As reported, approval time decreased from up to two weeks to a few days, and check processing time fell from four hours to less than one, driven by online access to supporting documents and automated reminders.
