In 2023, Refresco implemented Benifex Wellbeing as part of a broader Benifex OneHub deployment in the Netherlands, using the solution to centralize employee wellness and benefits access under a single Benefits Administration platform. The initiative was scoped as an HR and benefits administration project to strengthen the employer value proposition and drive engagement among Refresco employees, with 59% of employees registering for the Wellbeing module and 1,036 completed wellbeing sessions reported.
Benifex OneHub was configured to deliver the Benifex Wellbeing module alongside core benefits enrollment and administration workflows, enabling session scheduling, participation tracking, and centralized employee communications. Configuration emphasized employee self-service for wellbeing resources and protection products, aligned to common benefits administration functional flows for enrollment, eligibility, and program participation reporting.
Operational coverage focused on HR and benefits teams in the Netherlands and on integrating wellbeing administration with existing HR and benefits workflows rather than introducing named third party integrations. The deployment centralized wellbeing program management within the Benifex OneHub environment and aligned administrative processes for enrollment, protection uptake monitoring, and employee savings validation.
Governance and rollout followed a phased HR-led approach between 2023 and 2024, with governance controls placed on program enrollment, data capture for session completion, and benefits communications. The program delivered explicitly reported outcomes of higher employee engagement, increased protection uptake, and measurable employee savings between 2023 and 2024 while using Benifex Wellbeing as the focal Benefits Administration application.

In 2018, Refresco implemented Planon Universe as a Facility Management application to centralize lease and asset records and to meet IFRS16 lease accounting requirements. The deployment targeted finance-led lease accounting and external reporting across Refresco’s global footprint, explicitly covering 60 production sites in 11 countries and an inventory of approximately 1,800 leased assets.
The Planon Universe implementation focused on contract and asset registration, an authorization model, data enrichment and validation, and budgeting and forecasting workflows consistent with Facility Management capabilities. Planon Universe was delivered as a secure cloud service, configured to capture the specific data points required for IFRS16 reporting and to allow country-level data entry while preserving a consolidated group view.
Operational intake consolidated lease and contract information from a varied mix of local administrations and site records, supported by local finance teams who collected and validated source data. The solution was adopted by approximately 40 Refresco users, with targeted training for about 30 financial staff across the 11 countries, and it became the single package for maintaining lease commitments and preparing budget and forecast inputs.
KPMG served as the implementation partner and executed the rollout with a multidisciplinary core team of six people, three from Refresco and three from KPMG. Governance and delivery relied on weekly core team calls, rapid issue resolution and augmented technical resources for data quality exercises, plus training and authorization rules so countries manage their own data while group finance retains oversight.
Delivered within a four month schedule from initial design to production readiness, the Planon Universe deployment enabled Refresco to consolidate all lease contracts from the 60 sites into one maintained package, produce consistent data for roughly 1,800 leased assets, and be IFRS16-ready for reporting from 1 January 2019.
