Oracle Legacy Oracle WebCenter Accounts Payable AP Automation ERP Financial Management TekStream Solutions 2012 2012 In 2012, ResCare deployed Oracle WebCenter Accounts Payable as an AP Automation solution to centralize and automate invoice processing across its Accounts Payable function supporting more than 1,000 locations and a 45,000 employee footprint in North America. TekStream Solutions implemented the program to reduce manual data entry, shorten receipt to payment cycles, improve remote approver visibility, and introduce automated controls into invoice processing workflows. The implementation used Oracle WebCenter Imaging, Document Capture, Forms Recognition, and the E Business Suite Accelerator to create a ResCare specific capture and workflow environment. Oracle WebCenter Accounts Payable was configured for paper and email invoice capture, automated data extraction and validation, workflow routing for approvals and exceptions, and persistent image links for invoice records, enabling automated data upload into Oracle Accounts Payables. Integrations were built to synchronize captured invoice data and image links with Oracle Accounts Payables inside ResCares Oracle E Business Suite environment, and the solution was extended to provide electronic imaging for Oracle iExpense receipts and to support Capital Expense approval routing. Operational coverage targeted the Accounts Payable organization and remote approvers across the enterprise, consolidating intake channels and routing into the enterprise content and imaging layer. Governance and process changes included standardized electronic workflow approvals, exception handling rules, and automated invoice controls to increase liability visibility for approvers and to reduce paper based routing and storage. TekStream streamlined high volume invoice handling and provided configuration to enable reuse of the imaging platform for additional processes, aligning operational workflows with electronic content management and approval policies. ResCare realized explicit operational outcomes described by the implementation, including reduced costs for managing and mailing paper invoices, lower storage costs for paper records, redeployment of staff previously performing manual keying to other projects, and the ability to process more invoices with the same or fewer resources. The case study notes continued growth in return on investment as additional paper based processes migrate to the enterprise imaging and AP Automation solution.
