In 2016 Restivo & Murphy configured SmartAdvocate, a Case Management application, to manage no-fault and personal injury case workflows for its Garden City New York office. The deployment targeted paralegal and client intake operations, establishing a formalized intake window that required No-Fault file setup within 30 days of no-fault application and ongoing case maintenance by the firm’s paralegal staff.
The implementation centered on intake and case setup capabilities within SmartAdvocate, including structured data capture for adjuster information, policy limits and claim numbers. Document management workflows were used to track requests to medical facilities and receipt of medical records, supported by HIPAA authorization creation and storage. Case-level contact management and appointment confirmation functions were used to log client outreach, treatment status updates and Spanish language translation interactions.
Operationally the system supported the Garden City office paralegal team between 2016 and 2017, driving day to day activities such as answering phones, initiating no-fault files, calling medical facilities to obtain records, following up on lost wages and property damage claims, and updating SmartAdvocate with claim-side data. Governance was procedural, with paralegals responsible for timely file creation, authorization forms and regular client follow up to maintain treatment and appointment schedules within the Case Management environment.
