Operational coverage spanned customer support and pre sales functions, with the LiveChat channel exposed across corporate website pages that service external customers. The deployment emphasized agent workflow integration on the website channel, enabling web agents to receive, manage, and escalate chats as part of customer engagement processes.
Governance and process changes included formalizing chat handling procedures, agent assignment rules, and transcript retention for follow up and quality control. Ricoh Australia integrated LiveChat operationally to align web chat interactions with existing service intake and support workflows without introducing named third party integrations in the public record.

The implementation was positioned to strengthen quality and compliance controls across the business, supporting ISO 9001, ISO 14001, ISO 27001 and the CarbonZero environmental standard while aligning process governance with the companys growing professional services and IT services operations.
Ricoh began with a one-month pilot using Nintex Promapp across four areas, business excellence, HR, product strategy and IMACD asset management, and concluded the pilot early after two weeks due to positive adoption. Core capabilities configured included process mapping and visual workflow documentation, formal nomination of subject matter experts as process owners, scheduled review dates for content currency, and read-only publishing for external stakeholders. The implementation also captured forms and referenced internal information systems within procedure documentation to consolidate previously dispersed process artifacts.
Operational coverage extended along the customer lifecycle, from machine launch, sales and order fulfilment, through billing and service delivery, to end-of-life collection, bringing sales, service, billing and asset management teams into a single process repository. Nintex Promapp was used to document customer-specific procedures and to share read-only links externally, enabling customers to review procedures and submit feedback directly to the nominated owners. This approach increased transparency and centralized feedback loops without introducing named system integrations beyond embedding information system references within procedures.
Governance was formalized by assigning ownership to the subject matter experts in each business area, shifting maintenance responsibility away from a centralized team and embedding review workflows into standard operating practice. Ricoh reported near-immediate benefits, with the platform becoming a single source of knowledge and enabling more consistent customer experiences while supporting a future of continuous improvement.
