In 2017, ScribeAmerica implemented Oracle NetSuite ERP to support core ERP Financial functions for invoicing and accounts receivable. The implementation centralized invoice processing and payment receipt workflows within Accounting, formalized verification of invoice discrepancies by obtaining information from sales and clients, and established formal interactions between Accounting and Collections teams for past due accounts.
The Oracle NetSuite ERP configuration focused on transaction-level invoicing, accounts receivable management, and reconciliations, enabling processing of service and credentialing invoices, lockbox deposit reconciliation, electronic fund transfers, checks, and incoming wires. Billing rules and validations were applied to enforce contract specifications such as PO numbers, rate variances, night shift and overtime rates, capped pre-clinical and clinical training amounts, customization fees, cost of living adjustments, and minimum wage increases. Records retention practices included microfilming invoices, debits, and credits, while operational reporting and reconciliations relied on NetSuite Accounting alongside advanced Excel techniques including V-lookup, Match, Index, and Pivot Table functions and Outlook Express for communications.
Governance and operational processes were defined by Accounting management through regular audits of team invoices and contract application, and by coordinated collection activities that included sending collection letters and scheduling payment plan calls. The Accounts Receivable and Collections scope explicitly covered investigation of discrepancies, audit workflows assigned by the Accounting Manager, and recovery of lost revenues from prior accounting periods through collection efforts that yielded additional hundreds to thousands of dollars for the company. Oracle NetSuite ERP was used as the system of record for these ERP Financial business functions at ScribeAmerica.

In 2016, ScribeAmerica implemented Sterling Background Check as its BackGround Screening application. The implementation was operated by HR operations staff and HR Solutions Coordinators who used Sterling Background Check to order background checks for new hires and to manage candidate compliance to work qualifications.
Sterling Background Check was configured to support background check ordering and candidate compliance tracking, with credentialing artifacts such as PPD results, UDS results, and titer results uploaded into employee files. The operational design positioned Sterling as the screening and clearance engine while new hire records were entered into Workday to complete onboarding and payroll-ready status.
Operationally the Sterling Background Check workflow was aligned with Workday driven new hire lifecycle activities, creating a handoff where clearances in Sterling were validated prior to Workday onboarding completion. HR coordinators maintained an Excel tracker to coordinate entries, and managed approvals for I-9s, transfers, promotions, demotions, separations, and administration of FMLA and leave of absence requests.
Governance emphasized manager coordination and state-level compliance monitoring to ensure minimum wage and sick paid time laws were current for the jurisdictions supported by the HR team, with a centralized coordinator approval model for credentialing and background clearance. The implementation focused on operational controls and HRIS coordination between Sterling Background Check and existing HR processes rather than broader platform replacement activity.

The EPIC EHR implementation included Epic modules Clarity, ClinDoc, Stock, ADT, Willow, and Reporting Workbench. ClinDoc was configured for structured clinical documentation workflows, ADT managed admissions discharge and transfer events, Willow handled medication and pharmacy workflows, Stock tracked supplies and inventory, and Clarity together with Reporting Workbench provided enterprise reporting and analytics capabilities.
