In 2015, Sephora SE Asia deployed SAP Concur Travel as its Travel Management platform to replace manual travel and claims processes and align T&E submission with the broader migration to SAP ERP from Navision that took place the same year. The SAP Concur Travel implementation was positioned as a centralized Travel Management system for the regional office and supporting SEA subsidiaries, with training and change management delivered to regional HQ users and subsidiary finance and business users during rollout.
The implementation focused on core travel and expense capture, electronic expense submission, approval routing and expense reporting workflows consistent with Travel Management functionality. Local super users and finance reviewers were trained to validate claims and to enforce policy controls, while helpdesk and ad hoc user support were provided by regional finance staff during the transition period.
Operationally the SAP Concur Travel deployment was integrated into month end financial processes, where T&E submissions fed into subledger reconciliations and were reconciled to the SAP General Ledger as part of monthly close and cash forecasting routines. The program ran alongside a new PO system rollout, COREFA, and was managed in coordination with Accounts Payable, Shared Services Center activities and the Regional Finance team, who reviewed payments prepared by SSC against three month cash forecasts.
Governance and process changes included designation of local super users, a reviewer role for full set account review covering Accounts Payables, Accounts Receivables, Fixed Assets and General Ledger, and extensive user training during the SSC transition in 2019. Ongoing responsibilities after rollout included supporting auditors and tax agents, maintaining SAP administration until SSC formation, and resolving user issues for SAP Concur Travel submissions across the region.
