In 2019, Shannon Health System implemented EpicCare Ambulatory as part of its Electronic Health Record deployment, establishing a unified ambulatory clinical record to complement existing inpatient modules across Shannon Medical Center in San Angelo, Texas. The EpicCare Ambulatory implementation is positioned to support primary ambulatory clinician workflows while aligning with the broader Electronic Health Record footprint used across inpatient and specialty services.
The implementation encompassed multiple Epic modules and functional configurations, including IP Orders, IP ClinDoc, Radiant, Cupid, OpTime, Anesthesia, Beaker, Willow, and Willow Ambulatory. Configuration work explicitly included order set build and management, therapy plan and treatment plan construction when medications are involved, medication build for chemotherapy and pediatric dosing, formulary maintenance, medication load and cost load, HCPC coding, 340b maintenance, and charging build with billing extensions and charge tables.
Integrations and operational coverage included interface and identifier maintenance with Omnicell and Pyxis and mapping of records for both device integrations, active work on a Connect inpatient pharmacy build, and SlicerDicer reporting used to construct custom dashboards. Decision support capabilities were deployed as part of the implementation, with build and governance for best practice advisories and medication warnings, plus custom clinical monitoring tools for pharmacy such as scoring systems, print groups, and patient lists.
Governance and operational rollout were managed by an internal team structure, led by a clinical manager overseeing approximately 20 analysts and a dedicated Willow pharmacist analyst who led pharmacy build and ongoing maintenance. Major program activities documented during the engagement included Hyperdrive conversion, two cutover events, daily ticket management and issue resolution, facility structure assistance, and ongoing order set and shortage management processes tied to operational committees like Antimicrobial Stewardship.
