In 2015, SpartanNash implemented Oracle PeopleSoft Payables as an AP Automation solution to centralize and standardize Accounts Payable processing. SpartanNash deployed Oracle PeopleSoft Payables to support corporate finance functions and transactional AP operations that span corporate supermarkets, distribution centers, and business units including MDV, Caito Foods, and third party logistics through BRT, aligning the application to enterprise Accounts Payable needs.
The implementation configured core functional modules such as invoice capture and imaging, electronic invoice records management, vendor master maintenance, three way match controls between purchase orders receipts and vendor invoices, payment processing and check distribution, tax levy handling, and Form 1099 processing. Oracle PeopleSoft Payables was set up to enforce approval authority audits, support cash discount capture and credit balance and deduction offset workflows, and enable journal entry creation and reconciliation of AP general ledger accounts including purchase card and T&E clearing accounts.
Operational integrations were implemented to connect invoice and receiving records from distribution center operations with the AP workflows, and to feed transactional data into the company general ledger and records retention systems. The deployment also encompassed oversight of vendor master data integrity and the automated Accounts Payable system used by staff who research vendor inquiries, manage escalations, and execute payment exceptions.
Governance was structured to support Sarbanes Oxley controls and year end audit requirements, with process reviews, approval authority verification, and audit schedule preparation embedded in AP operations. The program included role based responsibilities for AP management covering staffing, training, performance management, and process documentation to maintain control over three way match, reconciliations, and records retention within the Oracle PeopleSoft Payables AP Automation environment.

In 2020, SpartanNash implemented Workday Absence Management as part of a coordinated Workday program. The deployment aligned Workday Absence Management with other Workday modules including Benefits, Compensation, HCM, Payroll, Recruiting, Talent, and Learning to support core HR and payroll business functions for a workforce of approximately 19,000 employees, and the project sits in the Absence and Leave Management category.
The implementation configured standard absence and leave constructs common to the Absence and Leave Management category, including absence plans, time-off calendars, eligibility and accrual rules, and absence event processing tied to payroll. Workday Absence Management was instrumented with extensive reporting and calculated fields capability, reflecting SpartanNash’s emphasis on analytics and operational reporting during rollout, and the team rebuilt more than 500 legacy reports and dashboards to align with the new data model.
Operational integration focused on tight functional linkage between Absence, HCM, Payroll, Benefits, Compensation, Recruiting, Talent, and Learning within the single Workday tenant. The implementation covered HR, payroll, talent and recruiting workflows, and centralized absence records and approvals to support enterprise HR operations across the organization.
Governance and process work accompanied the technical rollout, with a security governance model and process framework established to manage Workday security requests. SpartanNash staffed a lead for testing and reporting during the Absence rollout, provided backup support for general Workday issues, and coordinated with business leadership and internal audit to resolve security and access requests, while escalating technical issues to Workday and support partners as needed.

In 2020, SpartanNash implemented Toshiba SurePOS ACE as its Point Of Sale application to standardize in-store transaction processing across its retail footprint. The Toshiba SurePOS ACE implementation included Electronic Payment Support EPS, IBM Store Integrator graphical user interface, ICEsoft AS e-Lite browser components, and IBM 4690 operating system level configuration. The rollout also incorporated IBM Data Integration Facility and Store Integration Framework capabilities to handle data exchange, and functional workflows addressed in-store accounting, time and attendance, labor scheduling, direct store delivery, perishable inventory, and in-store ordering.
Integrations were implemented at the store edge, using TCP/IP interfacing and scripting to connect POS terminals to payment processing and back-office data feeds, enabling transactional flows between point of sale and central systems. Operational coverage explicitly involved store operations, loss prevention, merchandising, finance, and IT support organizations, with workstreams for sales accuracy, systems integration testing, and business coordination.
Governance and operationalization included packaging software for staged rollouts, scheduling deployments, and providing post rollout support, along with creation of standard operating procedures and knowledge management artifacts. Technical ownership required C++ and scripting expertise for interface development and troubleshooting, and the program emphasized testing, support handoffs, and documentation to sustain ongoing POS operations.
