| Microsoft | Legacy | Microsoft Dynamics AX | ERP Financial | ERP Financial Management | Open Systems Technology (OST) | 2012 | 2012 |
In 2012, Spend-less Shoes implemented Microsoft Dynamics AX as its core ERP Financial platform to unify merchandising and accounting across its national retail network. The deployment, led with implementation partner Open Systems Technology, established a single, integrated retail system that spans head office finance, warehousing, logistics, planning and allocation, and point-of-sale operations across the companys stores in Australia.
The implementation configured Microsoft Dynamics AX with retail-specific capabilities from OST to deliver end-to-end workflows, including procurement through to store sales, inventory management, allocation planning, size-by-style merchandising control, and financial ledger consolidation. Functional capabilities explicitly addressed merchandising and buying workflows, POS transaction capture and reporting, warehouse and distribution processes, and centralized analytics for head office finance teams.
Architecturally the solution is built on Microsoft Dynamics AX with an OST retail layer that supports seamless integration to Microsoft and third-party systems and a distributed POS footprint that provides instant, up-to-date stock information to store devices. The deployment model centralized master data and financial posting at head office while federating transactional POS and store-level inventory activity across the retail estate, enabling consistent stock visibility and allocation decisions.
Governance and process changes accompanied the technical rollout, moving the business away from manually intensive procedures toward a single version of the truth and automated reconciliation flows. Prior operational bottlenecks such as multi-day store stock-take and delayed delivery reporting and ledger posting were cited as drivers for the program, and the new ERP Financial solution eliminated manual data-transfer tasks and improved analytics availability for buyers and managers.
Outcomes called out by Spend-less Shoes include consolidated, end-to-end retail operations from procurement to store sales, better size-by-style control and ratio pack ordering by merchandisers, reduced unsold stock and shrinkage, and more informed customer service at POS through real-time stock visibility. The OST Retail solution built on Microsoft Dynamics AX also provided the integration flexibility to connect digital and mobile channels going forward, which the company identified as a foundation for its next decade of growth.

| ELMO Software | Legacy | HROnboard | Onboarding | HCM | n/a | 2019 | 2019 |
In 2019 Spendless Shoes implemented HROnboard to centralize employee onboarding and standardize new-hire processes. The Onboarding deployment supported a national retail footprint of more than 1000 staff across 200 stores in Australia, and contributed to Spendless being named 2019 Retail Employer of the Year by Retailworld.
The HROnboard implementation consolidated core Onboarding capabilities, including digital new-starter kits, offer management, structured staff transitions, and offboarding workflows. Configuration focused on automating offer acceptance and documentation, reducing manual paper handling and compressing onboarding timelines from weeks to days.
Operational integration included a direct integration with Spendless Shoes recruitment tool to create a single handoff from candidate to employee, enabling an end-to-end new-hire workflow. The solution was positioned to support HR, store managers, and the Employee Journey Coordinator function, providing a consistent onboarding experience across regions and stores.
Governance and process changes emphasized centralized HR orchestration and continuous improvement, with Spendless working with the HROnboard team to refine engagement and recognition touchpoints during onboarding. The implementation shifted paper-based processes to digital workflows, accelerated offer acceptance to a matter of hours, and embedded onboarding as a foundational HR process for retail talent retention.

In 2013, Spendless Shoes implemented Apparel21 as its Retail Management application. The deployment focused on configuring Apparel21 for store operations, positioning the system as the primary platform for cashier workflows and stock lifecycle management at the store level.
Apparel21 was configured to support cashier tasks and cash operations at Pay point, point of sale transaction processing, scanner-driven stock receiving, ordering and managing movement of stock, and presentation workflows including following relay plans and shelf organisation. The configuration emphasized store open and closing procedures, manual handling guidance, and scanner-enabled inventory control to align with everyday retail floor activities.
The retail implementation was used alongside Timeteq for timekeeping and shift scheduling, aligning workforce schedules with front-of-house customer service and back-of-house receiving activities. Operational coverage included customer-facing functions such as cashiering and advice to customers, inventory and replenishment processes, and HR-adjacent activities like interviews and training for new employees.
Governance and process restructuring centered on store-level accountability for cash handling controls, adherence to planogram layouts, and standardised training and onboarding processes. Apparel21 functioned as the central Retail Management application for Spendless Shoes, unifying cashier, inventory, ordering, store presentation, and basic workforce coordination workflows.
