In 2010, Stanford University implemented Kofax MarkView as its AP Automation solution to manage invoice capture, imaging, workflow routing and reporting for campus accounts payable. The Application Administration group within Administrative Systems operated the environment with a mandate to maintain security, reliability, performance and availability, ensuring production access during published hours and coordinating with ITS for platform support.
Kofax MarkView was configured to support core AP Automation capabilities including document capture and indexing, electronic invoice workflow and approval routing, exception handling and archival imaging, and reporting for accounts payable operations. The Application Administration team managed Tomcat configuration, batch processing schedules, application-level security, software configuration and the publication of operational reports, and they performed application-level bug fixes, vendor updates and coordinate code migrations.
Integrations were implemented with Stanford’s broader financial stack, notably Oracle Financials E-Business Suite and other campus financial systems, with interfaces maintained to external business partners where required. Operational support included Oracle database administration for enterprise applications, Windows system administration, and management of Registry interfaces and document services used for imaging and posterior processing.
Governance and operational processes were formalized under the Application Administration group, including capacity planning, monitoring and performance tuning coordination with developers and ITS organizations, firewall and VPN rule coordination with Networking and Information Security, and adherence to published service level agreements. The team provided 24x7 on-call support as specified by SLAs, maintained technical system documentation and automated tools to maximize application uptime while serving as the technical interface with vendor support for Kofax MarkView.

Governance oversight was established within HR to manage leave policy configuration and approval rules, and process changes were instituted to normalize time capture and reporting across units. The Journyx Acumen LeaveVIEW deployment provided an institutionalized absence management and time and attendance recordkeeping capability for Stanford University.

Operational coverage tied the Case Management implementation to a broader HR operations stack where administrators continued to perform HRIS data management and reporting tasks using PeopleSoft transaction processing and Oracle BI for compliance and audit reporting. Day to day governance routed first contact inquiries through ELR administrators who resolved or escalated cases, while administrators maintained electronic filing systems and consolidated spreadsheets for terminations, grievances, and layoffs alongside CaseBuilder records.
Governance and process responsibilities included serving as the primary contact for identifying and resolving HR and payroll related inquiries, participating in system release and enhancement testing, and training new HR PeopleSoft users on transaction workflows. The deployment emphasized formal case ownership, documented escalation paths to Employee & Labor Relations specialists, and centralized recordkeeping for unemployment claims and employee relations matters within the Equifax CaseBuilder Platform for Case Management.
