The deployment used an out-of-the-box configuration of Redmap AP Automation, with automated capture of emailed supplier invoices into a central processing queue, optical data extraction, business rule validation and decision logic to determine PO versus non-PO handling. The configuration processed PO-linked invoices for direct posting to Pronto Xi and routed non-PO or exception invoices to named approvers, while generating persistent source-document links once a record was posted to the ERP.
Integrations centered on real-time posting and document linking to Pronto Xi as the financial system of record, and on an inbound email ingest point provided by Redmap for supplier invoice submission. Operational coverage included Supagas’s nationwide footprint of 39 branches, service to mining sites across Australia and Canada, and finance team handling of several thousand supplier invoices monthly as described in the implementation materials.
Governance emphasized minimal customization, a deliberate choice by the financial controller to retain the vendor’s vanilla Best Practice to simplify upgrades and support and to avoid recreating manual steps. Operational system interactions included routine updates to employee details on the Chris21 data program as part of ongoing record maintenance and reconciliation, and use of external candidate sourcing channels such as SEEK and print advertising for recruitment. The deployment supported HR, recruitment and compliance business functions and centralized processes for collecting employment tax information, maintaining HR policies and databases, and processing incoming HR correspondence.
Governance and workflow changes emphasized formalized recordkeeping and auditability, delegated responsibilities for contract generation and distribution within HR, and documented steps for background checks and termination paperwork.
