In 2021 Swinburne University of Technology implemented TechnologyOne ERP to establish an ERP Financial foundation for Student Life finance and office administration. The TechnologyOne ERP deployment was concentrated on the Hawthorn, Victoria site and supported the Team Leader for Finance and Office Administration and a small operational team including three direct reports, embedding the application into student finance, administration and reception workflows.
TechnologyOne ERP was configured around TechnologyOne FinanceOne to deliver core financial management and accounts operations, with expense processing integrated to Zeno Expense Management and approvals orchestrated through Activiti Workflow. Collaboration and document management were enabled via Microsoft Teams and SharePoint, while Qualtrics was retained for survey and feedback processes, aligning the ERP Financial platform with adjacent operational tooling.
Integrations included Salesforce Lightning CRM as an adjacent system used by Advocacy for escalations management, creating cross-functional links between student support and finance records. Governance shifted toward workflow-based approvals using Activiti Workflow, with process standardization concentrated at the departmental level in Student Life rather than an enterprise wide rollout, and operational coverage centered on Hawthorn campus finance and office administration functions.

In 2019, Swinburne University of Technology implemented Workday HCM as its Core HR platform to centralize human capital management across the university. The deployment focused on establishing Workday HCM as the authoritative source for position records, supervisory organisation structures, and core HR master data for People and Culture teams and line managers.
Workday HCM was configured to support position management, supervisory organisation modeling, and people analytics capabilities, with an emphasis on enterprise reporting and workforce analytics. The implementation included development of advanced operational and strategic reports, and practical automation workflows that consolidated data from multiple HRIS and payroll sources to streamline recurring compliance and workforce reporting tasks.
Integrations were maintained with associated HRIS and Payroll systems to feed payroll, headcount, and eligibility data into Workday HCM for consolidated reporting and operational processes. Operational coverage included P&C People Insights and Reporting functions, manager self-service for supervisory organisation alignment, and department level position management to support mini-restructures and accurate headcount alignment.
Governance and process changes accompanied the rollout, including a deliberate shift from a cost-hierarchy representation to Workday HCM supervisory organisation structures as the intended representation of the live organisation chart. A P&C Digital Records Management initiative and a centrally managed SharePoint repository were enacted to standardize documentation and to support data quality and auditability for Workday-driven HR processes.
Explicit outcomes documented during and after the Workday HCM deployment included significant automation of reporting tasks, converting a 10 day staff compliance reporting process into a 5 minute operation and reducing an Excessive Leave Liability report from several hours to a 3 minute process. Workday HCM also enabled more accurate casual FTE calculations for annual reporting and supported eligibility confirmations for enterprise bargaining processes.

In 2018, Swinburne University of Technology deployed Hyland Alfresco Activiti Cloud to provide a unified Business Process Management platform across finance, HR and student administration. The implementation targeted automation of request management and end user self-service for more than 2,500 teaching and support staff at the Melbourne campus, while accounting for the university’s broader student population of over 35,000 higher education and 18,000 vocational enrollments.
The first phase implemented core process modules for accounts receivables, staff reimbursements and travel requests, and extended to accounts receivable invoicing, expense reimbursement and credit card application workflows. The deployment used the Java-based open source Activiti Business Process Management engine within the Alfresco platform, selected for its open architecture, scalability and mobile access, enabling business teams to configure and manage processes with reduced reliance on IT.
Integrations implemented as part of the travel workflow include linkage to Australia’s Department of Foreign Affairs and Trade, the university’s financial system, travel agents and other external service providers, and the solution was integrated with Swinburne’s existing IT infrastructure and accessed via the platform’s online mobile app. Operational coverage includes over 750 people who have used Activiti in production, with the travel process servicing more than 350 active users and supporting roughly 4,000 travel requests annually, and other implemented processes handling nearly 6,000 transactions per year.
Governance and rollout were managed in collaboration with Hyland and Australia-based partner Sixtree, using agile development to iterate forms and workflows and to establish a single portal as the point of contact for end users. The project instituted a university-wide request management approach, shifted configuration ownership to business process owners, and produced measurable process outcomes reported by the university, notably a reduction in travel approval time from up to a week to most travel being finalized and booked within a day, and improved visibility into staff travel.
